Position Title: Administrative Assistant
Organization: U.S. Wheat Associates (USW) is the export market development organization working in over 90 countries on behalf of the U.S. wheat industry. USW operates from two U.S. and 16 overseas offices to provide information and advice to wheat importers and processors for the purpose of increasing U.S. wheat exports and the profitability of U.S. wheat farmers.
Position Location: Arlington, Virginia. Partial telework opportunities may be provided as specific work responsibilities allow.
Duties and Responsibilities: The Administrative Assistant will support the USW/Arlington office and report to the Vice President of Programs. Areas of responsibility include:
- Provide administrative support to the USW/Arlington office.
- Assist with travel requests, including airline, hotel and car reservations, preparation of travel documents, and passports and visas applications.
- Assist with short courses and trade teams, including registrations and per diem requests.
- Maintain trip report database, including reviewing, editing and submitting trip reports.
- Assist with annual documentation needs for budgetary audits.
- Complete and submit expense reports.
- Assist with annual production and distribution of the USW Directory.
- General duties include assisting with conference room meetings, managing daily mail needs and maintaining office supplies.
- Other tasks as needed and as time permits.
Education and Experience:
- Undergraduate degree required.
- Prior program management experience required.
- Travel agent experience required.
Qualifications and Skills:
- Proficiency in Microsoft Office 365, including Word, Excel, PowerPoint, Teams and SharePoint.
- Proficiency in using airline computer systems such as Sabre.
- Excellent written and verbal communication skills.
- High attention to details and accuracy.
- Ability to work independently and as part of a team.
Salary: The expected salary range is $60,000 - $70,000, depending on the qualifications and experience of the successful applicant. Attractive benefits are offered, including robust 401K and generous medical/dental/vision insurance coverage.
