Northwest Maritime, an organization dedicated to using maritime experiences to educate, inspire, and engage people in maritime culture, is seeking a Development & Grants Associate to keep our fundraising efforts running smoothly. In this role, you'll manage day-to-day donation processes, handle donor acknowledgments, and support fundraising activities like donor events, special appeals, and grant administration. You'll also collaborate closely with colleagues to research funding opportunities, write grant proposals, and track grants from application to reporting.

This is a dynamic role that involves both behind-the-scenes administrative work and hands-on event support. Whether it's preparing reports, attending community meetings, or occasionally helping out with physical tasks, you'll play a key part in keeping our operations smooth and successful.

PRIMARY RESPONSIBILITIES:

Grants Administration

  • Work with the Development Director to identify and pursue funding opportunities.
  • Write and compile grant proposals, ensuring adherence to funder guidelines.
  • Manage the grant application process, including correspondence and tracking deadlines.
  • Ensure timely and accurate grant reporting and compliance
  • Collaborate with the Finance team for payment tracking and forecasting

Fundraising Activities

  • Research potential new donors and funding sources
  • Assist with donor and special events, from logistics to follow-up
  • Support donor stewardship and communication efforts, including multi-channel appeals
  • Represent the organization at community and funder events

Donation Management

  • Coordinate daily donation input and reconciliation using Salesforce
  • Oversee donor acknowledgment processes, including gift entry, thank you letters, phone calls, and tax receipts
  • Maintain documentation to meet legal, grant, and internal requirements
  • Track and report on fundraising progress

GENERAL OPERATIONS

While the primary focus of this position is to coordinate and facilitate fundraising efforts, the Development & Grants Associate works as part of the entire NWM team, ensuring smooth operations. As a growing non-profit, we all pitch in for the heavy lifting, whether it's participating in all-hands projects and events, assisting visitors, or occasionally doing some literal heavy lifting.

MINIMUM QUALIFICATIONS

  • Strong Writing Skills: Ability to write clearly, succinctly, and adapt to different audiences, with a mastery of grammar, spelling, style, and tone
  • Detail-Oriented & Organized: Exceptional attention to detail with strong organizational skills
  • Technology Proficiency: Competency in word processing, spreadsheets, online research, email, and experience with databases like Salesforce or similar systems
  • Nonprofit Experience: Previous experience working in or with nonprofit organizations
  • Teamwork & Independence: Ability to work independently and collaboratively within a team
  • Deadline-Driven: Experience working in a fast-paced, deadline-oriented environment
  • Relationship-Building: Strong skills in developing and maintaining positive working relationships with internal teams and external stakeholders

HELPFUL QUALIFICATIONS

  • Grant Experience: Experience with grant writing, managing grant applications, and ensuring compliance with grant terms
  • Industry Knowledge: Understanding of outdoor education, workforce development, environmental restoration, place-based learning, or the maritime field

  • Position is full-time, 40 hours/week

WAGE RANGE & BENEFITS

  • $24-$28 per hour, non-exempt or exempt
