The Special Needs Plan Alliance (SNP Alliance) is seeking a highly motivated, enthusiastic and service-oriented individual to join our team as the Operations Manager who will be responsible for much of the day-to-day operations that support an efficient and productive team, our members and the work of the SNP Alliance. This position will work closely with the employed staff, the consultants, and report directly to the Chief Executive Officer

Position requires excellent organizational, time management, writing, communication and interpersonal skills. This is a hybrid (in-office and telework) position based in Washington, DC. It is a full-time position, but 0.8 FTE (4 days a week) would be considered.

Essential Job Duties

Financial:

• Review annual member invoices, identify appropriate member contacts, track key invoice metrics (enrollment size, dues amount, invoices sent and payments received).

• Work directly with SNP Alliance accountant to assist the President/CEO with managing invoices, Annual Review Letters and 990 tax filings, including gathering needed documents and tracking status.

• Work with accountant re: banking and credit card payments.

• Prepare Investment Reports for Finance and Growth Committee of the Board.

• Assist in annual budget preparation.

Operations:

• Manage Microsoft Enterprise accounts and billing.

• Review monthly Long-term Disability reports and on-line payments.

• Update, as needed, required Employee Labor Law signage and ensure compliant posting.

• Keep business license and designated agent filings up to date and compliant with the DC Department of Consumer and Regulatory Affairs (DCRA).

• Review annual benefits selections, form requirements and employee communications related to annual enrollment.

• Manage vacation requests and PTO tracking.

• Manage Insurance renewals (including general liability, Directors and Operators Liability, and Workers Comp) and assist CEO with annual Workers Comp audit.

• Support Assoc Director of Policy with Lobbying Report filings and appropriate registrations.

• Assist with lease management and requested communications.

• Review Employee Handbook with CEO annually, and update, as needed.


Membership Meetings:

• Support CEO and team, as needed, with scheduling member meetings, preparing agendas and materials, distributing member communications and responding to member inquiries.

• Work with Sr Communications Manager with updating member distribution lists.

• Support Fall Leadership Forum and Spring Member Roundtable meeting logistics and planning. This will include

o Working with meeting managers on hotel contracts and reviewing room settings, av, menus, etc.;

o Drafting agenda template and working with CEO and team to create content, draft speaker letters, and other needed meeting materials;

o Assist CEO in identifying sponsors, creating and tracking invoices, and related communications.

Board of Directors

• Support the CEO with meeting planning, agenda creating, and scheduling of standing and ad hoc Board of Director meetings.

• Maintain SNP Alliance Board of Director bylaws, terms of service, and other documents pertaining to necessary functioning of the Board of Directors.

Qualifications, Knowledge and Skills Required
• Ability to work independently and manage priorities
• Excellent communications skills – both verbal and written
• Experience with Microsoft Office tools, including WORD, PowerPoint, Excel, and desktop publishing
• Experience with managing budgets and other financial documents
• Bachelor’s degree required with 4 years’ office operations experience (consideration will be made for additional experience in lieu of degree). Advanced degree in business, management or operations is desired
ADA Specifications: (physical demands required to successfully complete the essential functions of the position)
• Must be able to use the computer, including typing, monitor, keyboard and mouse
• Required ability to sit at a workstation to perform duties for extended periods of time
• Ability to see clearly to view computer terminal and other reading materials
• Ability to collate, organize, assemble and/or file materials
• Ability to lift small boxes (10 lbs).
• May required limited over-night travel to off-site Board of Director Meeting, and attendance at the Fall Leadership Summit and Spring Executive Roundtable meetings in Washington D.C.

Salary and Compensation
Salary is commensurate with qualifications and experience; health benefits and retirement plan are offered.
