The Prevention Project at the Center for Human Rights & Global Justice (CHRGJ) at NYU School of Law is seeking to hire an Operations Manager to assist with a range of tasks related to administering the project’s finances, grants, personnel, and events. This is an at-will position currently funded through the end of 2024, with renewal in 2025 anticipated pending future funding.

Hours: 15–20 hours per week (precise hours and days of the week are flexible)

Salary: $35–48 per hour, commensurate with experience and qualifications

Anticipated Start Date: Early September 2024 (appr. September 3)

Responsibilities:

The Operations Manager will carry out a range of operational and administrative tasks, including but not limited to the following:

Finance

  • Budgeting – manage the project’s overall budget and grant-specific budgets, including monitoring spending, preparing budget proposals for grant applications, and maintaining salary allocations for personnel expenses across funding sources;
  • Procurement – onboard suppliers, manage contracts, and execute payments for goods and services, honorariums, stipends/awards, reimbursements, and other types of expenditures;
  • Administration – interface with NYU’s finance, grants administration, and research support teams to align project administration with School of Law and centralized university processes;

Grants Administration

  • Proposals – manage proposal timelines and assist with proposal development, including preparing budget proposals for grant applications;
  • Reporting – track grant reporting deadlines and manage process of developing financial and narrative reports;

Personnel

  • Student Programs – onboard student RAs and interns and manage program requirements, including recruitment and evaluation processes and payments;
  • Human Resources – manage HR processes for project staff positions, including assisting with recruitment, onboarding, visa sponsorship, etc.;

Events

  • Event Planning – manage logistical tasks related to planning and hosting events, including booking travel, obtaining guest access to facilities, ordering supplies, submitting guest reimbursements, arranging venue and catering, ensuring accessibility, etc.;
  • Onsite Event Support – help run occasional in-person events, including room set-up and managing facilities and catering logistics;

If capacity allows, the Operations Manager may also assist with communications tasks, such as managing the website, maintaining email lists, and drafting newsletters.

Qualifications:

Required

  • Degree in finance, administration, or other relevant field
  • Prior experience with budgeting, procurement, and event management
  • Strong skills with Excel, including creating spreadsheets for financial accounting
  • Competency with core business applications (MS Office, Google Workspace, etc.)
  • Authorization to work in the United States
  • Located in the New York tri-state area (NY, NJ, CT)

Preferred

  • Familiarity with NYU’s finance, operations, and/or grant management systems (e.g., UDW+, iBuy, Concur Travel & Expense, Cayuse, etc.) strongly preferred
  • 3+ years of experience in finance, administration, or other relevant field
  • Experience performing operational/administrative functions in a higher education setting
  • Experience with grant administration
  • Ability to travel into New York City as needed
