Job Summary:

The Technical Compliance (TC) Unit at The Acacia Center for Justice plays a pivotal role in advancing our mission to support and defend the rights of immigrants at risk of detention or deportation. Our unit is dedicated to creating and maintaining systems that ensure all processes remain focused on the needs of immigrants in removal proceedings by serving as the liaison between contractual obligations and service implementation. Through effective communication, reporting, and auditing of adherence to contractual requirements, both within Acacia and across our extensive network of subcontractors, we ensure contract stability.

The Program Analyst will support the LARS Technical Compliance team by handling a variety of tasks to ensure that program staff meet their contractual obligations. This role involves monitoring the compliance of subcontracting legal service providers through regular data entry, reporting, and audits, and escalating any concerns to the LARS Technical Compliance leadership promptly.

Primary Duties/Responsibilities:

Management of Subcontractor Onboarding and Offboarding

  • Troubleshoot and resolve onboarding/offboarding issues.
  • Audit processes under manager supervision.
  • Manually update or change workflows in our database when necessary.

508 Compliance Remediation of Public Document Library

  • Ensure documents are 508 compliant for inclusion in Acacia’s public document library.

Support Management of Interpretation Vendors

  • Create accounts for new vendors.
  • Review vendor billing.
  • Facilitate meetings with interpretation vendors.

Support Management of Electronic Signature Vendor

  • Create accounts for subcontractors.
  • Update forms available on the platform.
  • Review billing and track usage of the electronic signature vendor across the network.
  • Troubleshoot straightforward subcontractor questions about the platform.

Administrative Support Tasks

  • Conduct initial reviews of subcontractor small business reporting to ensure all responses are submitted and follow up as needed (twice a year).
  • Review subcontractor submissions for long-distance travel approval requests to ensure completeness and follow up as needed(quarterly).
  • Review subcontractor technical compliance plans during renewal periods to ensure submissions are complete, requested updates are made, and plans are finalized (once a year).
  • Collaborate closely with managers in charge of each submission to escalate questions or concerns appropriately.

Additional Responsibilities

  • Take on additional responsibilities as needed based on work distribution and team structure shifts, ensuring flexibility and responsiveness in all tasks.

Required Skills, Knowledge, Abilities:

  • Strong organizational and multitasking abilities.
  • Exceptional attention to detail and task management/organization skills. Excellent communication and interpersonal skills.
  • Proficiency in database management and updating workflows.
  • Ability to troubleshoot and resolve technical issues efficiently.
  • Competence in vendor management, including billing review and meeting facilitation.
  • Experience with electronic signature platforms.
  • Detail-oriented with the ability to conduct thorough reviews of submissions.
  • Ability to work collaboratively with managers and escalate issues as needed.
  • Demonstrated ability to proactively anticipate and identify a range of challenges, coupled with a knack for applying innovative solutions.
  • Demonstrated ability and interest in gaining skills with new technological platforms, including proprietary program databases, contracting software, and operations software as may be required by organizational, or program demands.
  • Proficient in Excel and other Microsoft Office Suite programs, e.g., Outlook and Word, Smartsheet.

Preferred Skills, Knowledge, Abilities:

  • Interest in program administration, public policy, or project management.
  • Previous experience in subcontractor management, provisions of legal services and immigration field.
  • Experience with government grants and contracts.
  • Knowledge of interpretation services and vendor management.
  • Familiarity with 508 compliance requirements.
  • Understanding of small business reporting requirements.
  • Desire to effectuate change in partnership with government.
  • Lived or affiliated experience with the U.S. immigration system.
  • Commitment to immigrants' rights and race equity.

Education and Experience:

  • Bachelor’s degree 2-3 years of relevant experience.
  • Experience in a similar role, preferably within a mission-driven organization.
  • Ability to work on multiple projects effectively and efficiently, both independently and collaboratively with a team.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organizational skills and the ability to prioritize, multi-task, and work under deadlines
  • Ability to work collegially in an open and collaborative team environment; patient and approachable.

Compensation and Benefits:

Acacia has established an internal compensation philosophy that centers equity and pay transparency. The salary for this position is set at $65,000. This is a non-exempt position. The salary listed is just one component of Acacia’s total compensation package for employees. Supporting Acacia staff—both personally and professionally—is our priority.
