Job Description
Center for Secure and Modern Elections is hiring an Executive Assistant. This position will require project management, administrative support, and principal management for the Executive Director of a project focused on legislative modernization.
The position will include, but is not limited to, scheduling support, document tracking/creation/editing, setting agendas, organizing group calls, working with consultants, and managing a project-wide to-do list. The Executive Assistant role is intended to increase the efficiency of the Executive Director and the whole team and, therefore, the efficiency of the project as a whole.
Responsibilities:
Administrative Assistance to the Executive Director and Team: 40%
- Manage, organize, and prioritize the Executive Director’s calendar, scheduling, and travel planning
- Prepare meeting agendas, take meeting notes, and provide meeting summaries
- Facilitate communication with internal and external stakeholders through inbox management, serving as the point of contact when the Executive Director is unavailable
Scheduling + Extended Team Support: 30%
- Work with internal and external stakeholders to schedule meetings and represent RPS when the Executive Director is unable to do so
- Build and maintain calendars for the Executive Team and other staff as needed to increase productivity and ensure staff’s time is allocated efficiently
- Coordinate events with partners and external stakeholders on behalf of RPS
General Operations: 30%
- Serve as point of contact with fiscal sponsors, account teams, and partners to ensure timely contract execution
- Review and track day-to-day operating tasks to ensure timely completion of program plans and tasks

Skillset and Background:
- 1 - 3 years experience in a position supporting a senior executive or similar professional experience
- Excellent written and verbal communication skills
- Excellent computer skills, including Google Suite and Microsoft Suite
- Experience with Slack and Asana preferred
- Bachelor’s degree preferred
Reporting and Structure:
Location: Hybrid in-person with flexibility for remote work in the Denver, CO area preferred; fully remote considered for excellent candidates.
Status: Full-Time, exempt
Salary range: $60- $70k, DOE
Department: Operations RPS
Reports to: Executive Director
