Fortify Health has a vision for a healthier world where everyone has the micronutrients they need to survive and thrive. We work toward this by enabling access to micronutrient-rich wheat flour to reduce and prevent iron deficiency anaemia. We currently have operations in 8 regions across India including: Maharashtra, Madhya Pradesh, and Delhi.

Fortify Health operates through three work streams:

  1. Open Market Support: We support millers to cost-neutrally fortify chakki atta in the open market
  2. Government Partnership Support: We work with governments in India to mainstream wheat flour fortification through social safety net programs
  3. Evidence Generation: We conduct monitoring and evaluation of activities to inform the public about the value of food fortification

Position Overview

The Administration Manager will be the key person responsible for managing all essential administrative tasks at Fortify Health. This includes handling procurement, vendor relationships, office and asset management, IT oversight, and organising events. Working across multiple regions in India, the Administration Manager ensures that administrative operations run smoothly and efficiently. This role demands strong organisational abilities, attention to detail, and effective teamwork to maintain high standards and create a supportive workplace environment that helps achieve the organisation's objectives.

At Fortify Health, the Administration team currently has two members who work closely with the Finance team to handle administrative tasks. We are looking for a seasoned Administration professional who can organise the team's work, ensure effective and timely delivery of all outputs and seamless coordination with the different departments that rely on the Administrative team to support their work. 

Responsibilities and activities

Procurement and Vendor Management:

  • Oversee all procurement and support teams to ensure timely procurement of services and goods as per requisitions.
  • Identifying and selecting vendors, ensuring competitive pricing and quality.
  • Manage purchase orders, contracts, and resolve disputes to ensure continuity of operations.
  • Monitor vendor performance to ensure compliance with contracts and service level agreements.

Office and Inventory Management:

  • Support the Administration Officer in maintaining efficient office operations, including space identification, day-to-day office operations and agreement management.
  • Support Admin Officer to coordinate with external IT service providers for maintenance and support.
  • Oversee asset inventory management processes, ensuring adequate stock levels of laptops, microdoser machines, premix, and other supplies required for the program. 

Event Organisation:

  • Plan, coordinate, and execute internal and external events, including meetings, workshops, and conferences.

Other Administrative Support:

  • Lead the travel management system, identifying agents and services that align with organisational needs for cost-effectiveness.
  • Provide comprehensive administrative support to senior management and various departments as required.
  • Assist in preparing reports, presentations, and correspondence for internal and external stakeholders.
  • Ensure strict adherence to organisational policies and procedures across administrative functions.
  • Lead internal communication and coordination across departments, ensuring timely updates and sharing of relevant trackers and folders with appropriate stakeholders.

Candidate profile

  • 5-6 years of experience/background in administration roles
  • Bachelor or higher degree in a related field
  • Ability to make good decisions quickly and a strong sense of intuition and judgement
  • Excellent organisational skills and ability to multitask
  • Strong written and verbal communication skills, with a proven ability to manage relationships between various stakeholders 
  • Ability to learn quickly and strong problem-solving skills
  • Experience in managing a team
  • Ability to work well independently, as well as with others
  • Excellent attention to detail
  • Proven ability to manage professional relationships and to work under pressure
  • Willingness to travel depending on project needs
  • Fluency in English and Hindi
