JOB SUMMARY: 

Habitat Chicago is currently seeking a talented professional for the role of Technology Coordinator.  Reporting to the Salesforce, Systems and IT Manager, the Technology Coordinator is responsible for the management and maintenance of our IT systems at our several locations, they will ensure the efficiency of IT our infrastructure, implement relevant IT solutions according to our standards and conduct R&D to ensure existing IT solutions are kept up to date. 

The central aim of IT management is to generate value through technology. The Technology Coordinator will help with the construction of IT strategic plans, oversee network and user security, manage data backups, and manage online applications. Additionally, the Technology Coordinator may plan and coordinate larger projects, such as installing and upgrading hardware and software. They are also responsible for troubleshooting issues and provisioning new equipment. 

Because this work is heavily dependent on inter-team communication and coordination, strong written and verbal communication skills are necessities. The ability to collaborate with coworkers while building consensus is critical for success in this position. 

We use Microsoft 365 for email and business applications. SharePoint stores our files. Salesforce.com is central to our operations but has its own administrator. We have a volunteer platform managed by the volunteer team, and a website managed by the marketing team. Our phone system is cloud-based and managed by our IT consultants, who also manage software updates for our computers. KnowBe4 provides cybersecurity awareness training for staff.  

ESSENTIAL JOB RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO: 

Key Responsibility: Systems and Technology Solutions (25%)  

  • Maintain the organization's effectiveness and efficiency by ensuring we have the technology in place to support the affiliate’s strategic plans. 
  • Monitor performance of information technology systems to determine cost and productivity levels and make recommendations for improving the IT infrastructure. 
  • Collaborate with teams across the organization to develop technical capacity and ownership of business processes and impact data. 
  • Recommend information technology strategies, policies, and procedures by evaluating organization outcomes, identifying problems, and anticipating organizational requirements. 
  • Prepare cost-benefit analysis reports when upgrades are necessary, continuously analyzing vendors to ensure they offer the best possible service and value for organization needs. 
  • Maintain technology policies and procedures, and create online training materials, presentations, and new policies where necessary. 
  • Train employees on both software and hardware, troubleshoot, and provide technical support when needed. 
  • Lead and motivate staff to develop and implement meaningful use of technology. 
  • Staff the cross-team Technology Steering Committee by setting agendas and leading implementations of decisions.  

Key Responsibility: Systems and Technology Maintenance (40%) 

  • Evaluate current technology use and needs of the organization and recommend software and hardware improvements. 
  • Implement and oversee operational budget and expenditures 
  • Troubleshoot hardware and software issues related to internal IT and escalate to vendors where necessary. 
  • Collaborate with users, vendors, and managers to understand and assess computing and system needs and requirements. 
  • Maintain essential IT operations, including operating systems, security tools, applications, email systems, laptops, desktops, software, and hardware. 

Key Responsibility: Systems and Data Security (15%) 

  • Preserve assets by implementing disaster recovery, backup procedures, information security and control structures. 
  • Develop and implement business continuity protocols to minimize disruption to business operations in emergencies or data loss. 
  • Develop and execute disaster procedures and maintain data backups. 
  • Oversee Microsoft 365 support, incident response, and hardware deployment and maintenance. 
  • Lead PCI compliance and maintain its training materials and documentation 
  • Maintain the existing cybersecurity awareness program.  
  • Lead the Security Incident Response Team by preparing meeting agendas, tabletop exercises, and maintaining incident response documentation.  

Other Responsibilities (10%) 

  • Serve as the liaison between staff and our several IT vendors.  
  • Purchase and provision new or donated equipment. 
  • Identify and prepare hardware for donation/disposal when appropriate and ensure it is stripped and secured before doing so 
  • Maintain the IT asset inventory.

QUALIFICATIONS: 

Required Knowledge, Skills & Abilities 

  • Experience administering cloud platforms we use or similar: Microsoft Office 365, SharePoint, Teams, Azure AD, Zoom. 
  • Exceptional organization and project management skills to manage complex projects within budget and schedule, as well as the ability to manage external consultants and budgets. 
  • Solid knowledge of IT security basics (cyber security, incident response, multifactor authentication solutions). 
  • Self-motivated and able to work independently. 
  • Excellent communication skills, including writing, grammar, and speaking. 
  • Superb organizational skills and attention to detail. 
  • Ability to organize and manage information from a variety of sources and formats. 
  • Ability to balance multiple tasks simultaneously and meet deadlines. 
  • Commitment to problem solving, continuous improvement, curiosity and personal development. 
  • Understanding and enthusiasm for Habitat for Humanity philosophy and willingness to advocate its mission. 

Education and Experience 

  • Mid-level contributor with minimum of 3 years’ experience 
  • Experience working within a nonprofit. 
  • A bachelor's degree in computer science would be advantageous.

POSITION DETAILS: 

Reports To: Salesforce, Systems and IT Manager 

Hours: Part-time; 8am-4pm plus evenings and weekends meetings as required. 

Environment:  

The Habitat Chicago office is located at Cermak Rd. and Carpenter St. in Chicago. It is accessible by car or by public transit. This position will have a desk, computer, and phone line in an open office environment. You will also be required to visit our two ReStores, and possibly our construction sites on the South and West sides.  

Conditions: Must be able to lift 25 pounds and work at a computer for long periods of time. 

Compensation: This is an hourly role with an annual salary range from $50,000 to $53,000 depending on experience. 30+ vacation/sick/personal days per year. 90% employer paid health insurance; access to dental, vision, life and 401k plans. 

FLSA Status: This position is as a Non-Exempt Employee. Employees in positions determined to be non-exempt, as defined by the FLSA and the Department of Labor regulations, are eligible to receive overtime pay at the rate of one and one-half times the regular hourly rate for all hours worked over 40 in a payroll week 

Training: The position will begin with an onboarding period to become familiar with the organization’s work and policies; they will be trained on the specifics of the role through a combination of in-person, online and written trainings and will be expected to take the initiative to review materials as needed and seek understanding of new developments in order to perform their responsibilities.
