MECASA MISSION: The Maine Coalition Against Sexual Assault is organized to end sexual violence and to support high quality sexual violence prevention and response within Maine communities.

The Maine Coalition Against Sexual Assault (MECASA) is seeking a team member to join our creative, supportive, and energetic office. The Operations Coordinator is a critical team member responsible for managing core office functions and systems and for providing administrative and program support for a busy and passionate staff of sixteen.

MECASA represents and serves Maine’s local sexual violence service providers, and provides support to a wide range of sexual violence-related partners and community members. Our efforts include initiating and advocating for victim-centered public policy; providing expert training, technical assistance, and resources for providers and partners; and funding sexual assault service providers.

POSITION OBJECTIVE:  The Operations Coordinator is responsible for managing core office functions and systems and for providing administrative and program support for MECASA’s staff.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Programmatic & Administrative Support

  • Provide administrative program support including contacts, calendar and file maintenance, for MECASA’s Executive Director.
  • During Legislative Session, provide bill tracking and coordination as well as hearing and testimony support.
  • Input and compile data and produce reports.
  • Ensuring contact lists are maintained and manage mass emails.
  • Prepare assigned correspondence, reports, mailings, meeting minutes, mail, and other documents.
  • Support financial division of duties, including retrieving and opening the mail, distributing mail, and entering checks received in organizational log.

 

Information Technology

  • Provide “Help Desk” support to MECASA staff.
  • Ensure MECASA electronic shared files are organized, up-to date and secure.
  • Employ relevant software to create, maintain, and manage information.
  • Collaborate to ensure security of all MECASA’s electronic information and software.
  • Proactively focus on cybersecurity needs.
  • Administer office phone system and account management.
  • Ensure that all office equipment and technology is in good working order, including serving as primary contact with computer technical assistance and copier support.
  • Assist with IT onboarding and offboarding of interns and staff.

 

Office Management

  • Lead efforts to ensure all aspects of the office run smoothly and efficiently, enabling staff to perform their duties to the best of their ability. Strive to continually improve office management systems.
  • Provide in-person and telephone reception for the office, disseminate routine information, and provide assistance to guests and visitors. Monitor and respond to the organizational email accounts.
  • Collaborate to maintain system for tracking promotional materials.
  • Manage procurement to ensure that MECASA funds are maximized; and serve as office contact with vendors and service contractors as assigned. Track, order, and stock necessary office supplies.      
  • Ensure ongoing office organization and cleanliness; coordinate office recycling and water delivery.
  • Contact building manager as needed.


Other

  • Complete other tasks as necessary to carry out MECASA’s mission and work.
  • Adhere to the philosophy and policies of the Maine Coalition Against Sexual Assault.
