Who We Seek
Hispanic Federation seeks a Grants and Contract Coordinator to support HF’s grantmaking program and contract-related work. The position is ideal for entry level professionals interested in non-profit administration and management. Grants and Contract Coordinator will provide support in a deadline-driven office, including extensive fact-checking; data management; and reviewing and monitoring contracts and deliverables, files, and grant documentation, including grant budgets and reports. The position is an integral member of the administrative team.
The coordinator must be highly detail-oriented, a self-starter, and able to accurately complete a range of administrative tasks necessary for successful and timely reporting to senior management and government contractors. This position reports to and works closely with the Director for Grants and Vice President for Grantmaking and Capacity Building.

Job Duties and Responsibilities:
Provide assistance and support to the Grantmaking and Capacity Building Department in the following areas:
Grants Management
- Track progress of grants in HF’s systems and support analysis of grants data; prepare summary reports for department managers.
- Collaborate with grants department to ensure and process timely and accurate grant payments.
- Contribute to the continuous improvement of the Federation's grants management systems through reviews and assessments of protocols and procedures.
- Manage data input to Blackbaud and updates grantmaking spreadsheets and reports on a monthly basis.
- Maintain an accurate database of HF members, partners, and grant history.
- Work alongside programs staff to prepare the trackers and reports; assist in the preparation of Board Committee materials.
- Participate in special projects as needed, including the annual report, community events, and projects as assigned.
Contract Management
- Assist in monitoring contract performance, and processes payments on assigned subcontracts.
- Prepare voucher packages and internal reports.
- Communicate with grantees, as needed.
- Maintain electronic and hard-copy files of all contracts and reporting.
- Update contracting trackers monthly.
- Updates programmatic trackers monthly.
Skills and Qualifications:
- Bachelor's degree and at least one (1) year of experience within the nonprofit sector, including experience with management of financial data
- Bilingual (English and Spanish) is an asset, but not required
- Excellent oral and written communication skills
- Strong financial and analytical skills with exceptional attention to detail
- Must be able to function well in a fast-paced work environment, able to respond to multiple requests for assistance simultaneously
- Computer skills including Microsoft Office (Word, Excel, PowerPoint)
- Excellent interpersonal and communication skills, with a flexible and collaborative spirit
- Ability to prioritize and work under deadlines
- Enthusiasm, professionalism and a passion for serving the Latino community
- Strong commitment to Hispanic Federation's mission and core values
Compensation
The salary range for this position is $45,000 – $50,000 and is commensurate with experience. Compensation includes fully subsidized medical, dental, vision insurance, access to flexible spending for medical and transportation, and a 403 (B) retirement plan with match after 6 months of service.
