POSITION OVERVIEW
The Operations Associate plays a vital role in ensuring the smooth operation of the Brooklyn Org office. Reporting directly to the Operations Manager, this self-starter will be the first point of contact for our partners and supporters, contributing to a welcoming and efficient environment.
This is a full-time, non-exempt position.
RESPONSIBILITIES
- Front Desk Coordination: Serve as the first point of contact for external visitors, welcoming them and managing scheduling and inquiries.
- Office Management: Oversee general office operations, including:
- Responding to inquiries, managing office supply inventory, liaising with building management, and performing administrative duties as required.
- Responsible for scheduling, receiving/sending mail, pantry organization, placing orders.
- Maintain the office environment, including but not limited to postage, making coffee, dishwasher management, restocking of snacks, etc.
- Human Resources Support:
- Assist with onboarding and offboarding processes, including new hire documentation, benefits enrollment, and employee file management.
- Maintain up-to-date employee records in HR software (if applicable) and ensure compliance with labor laws and organizational policies.
- Assist with internal communications regarding HR policies, procedures, and updates.
- Help manage employee benefits enrollment, including health, dental, and retirement plans.
- Accounts Payable Support:
- Process and verify invoices from vendors, ensuring accuracy and proper approval prior to payment.
- Maintain accounts payable records and assist in the preparation of monthly AP reports.
- Communicate with vendors to resolve billing discrepancies or issues as they arise.
- Operational Support: Provide comprehensive operational support to the Operations team, collaborating with various departments to enhance systems, tools, and resources.
- Logistics Management: Assist in organizing logistics for Board Meetings, program visits, workshops, and celebratory events. Manage vendor relationships and oversee cleaning services.
- Board Portal Maintenance: Manage and update file management/organization of the Board portal materials to ensure timely access to relevant information.
- Technology Support: Act as a touchpoint for technology support and ensure all office equipment is functioning effectively.
- Other duties as assigned.
REQUIRED SKILLS KNOWLEDGE, AND QUALIFICATIONS
- Minimum 3 years of administrative and scheduling experience; HR and finance experience preferred.
- Strong organizational skills and attention to detail.
- Strong vendor management skills.
- Excellent multitasking abilities and problem-solving skills.
- Proficient in office software and technology.
- Strong interpersonal skills with a customer-service-oriented mindset.
- Ability to work independently and collaboratively within a team.
- Prior experience in office management or operations preferred.

COMPENSATION AND BENEFITS
Brooklyn Org has a competitive and exhaustive benefits and leave plan and the salary range for this position is $55,000 – $65,000 dependent on the successful candidate’s background and experience.
