Position Summary
We are seeking our first Deputy Director. This leader thrives by wearing multiple hats in managing a small, fast-paced nonprofit organization, and who feels passionate about confronting some of the most challenging issues of our time- climate change, social equity, and investor accountability. Reporting to the Founder and Chief Executive Officer, this role will oversee all internal functions in the organization so that the CEO can focus on client partnerships, strategic program development, and industry-building.
The successful candidate will ensure day to day management of the team and operations, direct financial oversight and annual audit, uphold organizational and personnel policies, lead personnel development and performance evaluation process, manage external vendors and consultants, lead the preparation of board meetings, and support organizational development and business planning.
The ideal candidate will have demonstrable professional experience in being the right hand to an engaged Founder/CEO, anticipating needs, presenting solutions to business challenges, and maintaining accountability amongst a busy hybrid office team. Most importantly, the right candidate will thrive in a small entrepreneurial organization and nurture a committed, diverse team. This role will oversee 3 direct reports and additional fractional staff and external consultants.
Responsibilities
Organizational Leadership
- Demonstrate entrepreneurial spirit and adaptability and lead the team to remain responsive to emerging challenges and opportunities.
- Develop and implement refined organizational systems and processes to enhance coordination within the overall organization; including IT, cyber security, and employee training programs.
- Optimize operational efficiency to ensure smooth, efficient, and effective workflows.
Culture Building and Team Management
- Provide collaborative leadership to a diverse team, fostering a positive, transparent, and inclusive work environment.
- Act as an effective bridge-builder, who can communicate organizational priorities and plans to staff
- Oversee a fractional HR director to manage employee benefits and related communications, trainings, employee challenges, review processes, and to maintain employee regulatory compliances.
- Coordinate a transparent, equitable hybrid office culture amongst team
Financial & Compliance Oversight
- Partner with the CEO and CXO to oversee the organization’s $3M budget and ensure financial healthiness.
- Lead the team through a comprehensive annual budget process, and monitor financial performance with monthly finance reporting
- Oversee systems for day-to-day transactions, including invoicing, payments, payroll, bank reconciliations, cash flow, and forecasting; all of which are carried out by the Controller and Finance and Operations Manager.
- Prepare financial reports and presentations for Board Meetings
- Oversee organizational compliance (e.g., financial, legal, audit, benefits, licenses) with state, federal, and other regulatory agencies.
- Serve as a point of contact on legal, regulatory compliance, and risk management related to employment, terminations and other HR matters in partnership with the CEO
Qualifications
The Deputy Director will roll up their sleeves and provide laser-sharp clarity around goal setting, efficiency, and accurate execution. The successful candidate will set priorities decisively, delegate responsibilities, assure accountability, and allocate resources to produce results.
Strong candidates will offer the following attributes:
- Passion for the mission of Confluence Philanthropy
- Possess a minimum of 6 yrs experience in nonprofit executive management; Director level experience required.
- Dynamic organizational skills: the ability to multi-task and pay close attention to detail while coordinating large volumes of administrative work.
- Seasoned executive leader with prior experience supporting a Founder/CEO, with demonstrated ability to manage staff in a small hybrid organization
- Excellent written and oral communication skills; experience in effectively communicating key information both verbally and in writing to CEO, Board, and direct reports.
- Ability to self-direct, listen and ask questions, and establish relationships with staff at all levels within the organization and with external stakeholders.
- Resilient in solving unexpected problems as they arise
- Leadership qualities that demonstrate discretion for both professional and personal affairs coupled with a personable and approachable manner.
- Graduate degree in nonprofit management, business, communications, or experience years equivalent.
- Technology proficiency in Office 365, Non-Profit finances and reporting, and CRM systems.
- A warm sense of humor is a plus!
Location
Based in New York City, NY (Mid-Town Manhattan). This position is required in the office Monday- Thursday and may work remotely on Fridays. Must be available weekdays with office hours from 9:00 am to 6:00 pm ET with shorter hours and office days, seasonally.

Confluence provides an attractive non-profit compensation package, including a competitive base salary as well as health / dental, matching 401(k) plan, flex plan, and generous vacation benefits. The starting salary will range from $150,000 - $175,000 based on experience and references with the opportunity for salary promotion based upon revenue growth.
