Job Description

We are seeking a highly organized and proactive Project Manager to join our team. The Project Manager will work closely with the Programs and Operations Manager, the Senior Director of Programs, and other key stakeholders to ensure the smooth execution of our programs and events. This role involves managing timelines, coordinating program details, handling registrations, and facilitating communication with participants. The ideal candidate will have experience in project management, excellent communication skills, and a keen eye for detail.

This position will require working in depth with Mishkan's various digital systems for managing information, including GSuite, Slack, Asana, ShulCloud, and TicketTailor. Familiarity with these systems or their competitors (Monday.com, EventBrite, etc) is a plus.

In-person attendance is required every other Tuesday for a full Team Meeting. All Full-Time staff are also expected to work in-person on the High Holidays (Rosh Hashanah, Kol Nidre, and Yom Kippur).

What You’ll Do:

Program Planning & Coordination (40%)

  • With guidance from the Senior Director of Programs and the Programs and Operations Manager, leads teams in setting and meeting deadlines for programs from inception to delivery. 
  • Work closely with program leads to gather and understand all relevant program details.
  • Oversee multiple projects concurrently, ensuring timely delivery and adherence to project deadlines.
  • Set schedules, targets, and deadlines for milestones and coordinate the timeline by which a project’s tasks and deliverables are met. 
  • Collaborate on the development and implementation of a new system for tagging events.
  • Maintains website and calendars with close attention to detail.
  • Writes event marketing descriptions.
  • Works on-site during Mishkan's High Holiday programming (Rosh Hashanah, Kol Nidre, and Yom Kippur)

Registration & Attendee Management (35%)

  • Create and track registrations for all programs in ShulCloud to ensure accurate and efficient attendee management.
  • Receive and process accommodation requests to ensure all attendees' needs are met.
  • Respond to individual inquiries regarding program registration and provide timely assistance.
  • Create and manage the TicketTailor storefront for High Holiday registrations.

Communication & Outreach (20%)

  • Send targeted emails to promote programs and provide important information to participants.
  • Send out "Know Before You Go" communications and follow-up messages to ensure participants are well-informed.

Data Management (5%)

  • Partner with the Senior Director of Communication on specific projects to update and retrofit data sets.


What You’ll Bring:

  • 3-5 years of project management experience, including regular use of CRM system and project management tools. 
  • Direct, kind, and effective communication and the ability to toggle between attendee-facing and internal communications
  • A commitment to providing excellent service to program attendees, addressing their inquiries and accommodation requests promptly and professionally.
  • Attention to detail and the ability to spot where information is missing and track it down
  • Flexibility to adapt to changing program needs and schedules, maintaining a positive and proactive attitude
  • Takes initiative and works independently with minimal supervision.
  • Facility with virtual systems with an eye toward improving their function
  • Basic familiarity with Jewish holidays and ritual events, with a willingness to ask questions and learn more

Where You Work:

Hybrid work environment with our main office located at 4001 N. Ravenswood Avenue in Chicago as well as holiday and prayer service venues across Chicago. 

This position requires work on the High Holidays, and may require work on other Jewish Holidays with a mutually agreed upon work schedule.
