Program and Operations Associate: Choose Love, Inc.

Location: New York City - Remote

About the Role:

We are seeking a dynamic and organized Program and Operations Associate to join our team. The Program and Operations Associate will play an integral role in supporting Choose Love, Inc’s impactful and responsive grant making, while helping to ensure that operations flow smoothly. This role is ideal for someone who excels at prioritizing and multitasking to support our day-to-day operations, help our team manage charitable partnerships, and oversee grant-making processes. The successful candidate will be flexible, adaptive, and able to handle various projects with strong project management, communication, and administrative skills.

Key Responsibilities:

Grant Making Administration and Compliance Support:

  • Work closely with the Programs and Operations Manager to manage grants and maintain records throughout the grant lifetime.
  • Gather and review due diligence and compliance documentation for granting to partner organizations.
  • Conduct background research on compliance and due diligence requirements for grant-making in new international contexts.
  • Review reporting information from partner organizations and provide feedback.
  • Draft grant agreements and ensure accurate information.
  • Communicate grant-making processes across teams.
  • Draft agendas and take notes at internal and external meetings.
  • Respond to partners' needs, including application process support and reporting.
  • Support ongoing relationship management with partner organizations.

Operational Support:

  • Provide day-to-day operational support for Choose Love, Inc.
  • Track incoming donations from individuals, foundations, and charities.
  • Compile necessary information to support financial recordkeeping.
  • Provide financial administrative support, including dissemination of live banking data and reports.
  • Draft and send donor acknowledgements as needed.
  • Arrange travel and accommodation for the Choose Love team, donors, journalists, and stakeholders.
  • Manage logistical event arrangements.
  • Manage relevant platforms and databases for incoming and outgoing funds.
  • Process invoices and liaise with consultants.
  • Support the Programs and Operations Manager in maintaining state and federal registration compliance.

Information Flow and Collaboration:

  • Provide relevant information to the Communications team, including regular media monitoring.
  • Coordinate collaborations with the Partnerships team.
  • Field ad hoc requests from the UK team and external stakeholders.

Key Skills and Qualifications:

  • Experience working in non-profit organizations.
  • A minimum of two years of professional experience in administrative, grant-making, or compliance roles.
  • Fluent in English with excellent writing, editing, grammar, and analytic skills.
  • Meticulous with high accuracy and attention to detail.
  • Effective communication skills with both internal teams and external contacts.
  • Proven success in building relationships with external stakeholders. 
  • Highly organized and structured, with the ability to adapt to changing priorities.
  • Proven ability to meet deadlines and manage multiple tasks.
  • Ability to manage sensitive and confidential information discreetly.
  • Cultural sensitivity and ability to work effectively in a diverse, multicultural environment.

Additional Qualifications Desired:

  • Proficiency in Spanish.
  • Experience in grant-making in international contexts (outside the US).

Salary Range: $60,000 - $65,000.
