Position Goal: The Director of Special Events is responsible for the planning, management, and execution of all major fundraising events at PPSENFL. The position maintains a portfolio of event donors and supervises the Special Events Coordinator role. The position collaborates regularly with the Chief Development Officer (CDO), VP of Development, and Development team members as well as volunteer event chairs and committee members. This position is remote but requires a minimum of once-a-week logistical work at our West Palm Beach headquarters as well as a willingness to travel across the affiliate’s service area and to work evenings and weekends as necessary. 

Essential Duties:

  • Develops and recommends the affiliate’s annual special event plan, including event mix, sponsorship packages, timing, and locations, to generate $1M+ in events revenue. 
  • Establishes event-specific goals in coordination with the VP of Development; develops strategies, plans, and budgets to optimize funds raised and maximize attendance; creates and reconciles event revenue and expense budgets; monitors and reports on progress against goals. Ensures all invoices are accurate, on budget and paid promptly.
  • Recruits, manages, and collaborates with event chairs, committees, and volunteers.
  • Works closely with philanthropy advisors on cultivation, solicitation, and stewardship of event sponsors.
  • Maintains a portfolio of event donors.
  • Oversees and manages all event logistics, including scoping venues, securing vendor contracts, catering and day-of logistics. Negotiates and secures contracts including pricing and terms with external vendors; works with legal counsel to ensure proper review and approvals are obtained before execution.
  • Manages all event-related communication needs including but not limited to drafting sponsorship packages and appeals, invitations, committee correspondence, and acknowledgements. In partnership with the Communications team, prepares invitations, talking points, videos, and pre/post-event publicity. 
  • Oversees all aspects of risk management for affiliate events including securing event insurance agreements (as necessary) and works with the Director of Security to ensure adherence to all security protocols. 
  • Maintains awareness of local community events calendars and collaborates with local organizations to avoid scheduling conflicts.
  • Supervises the work of the Special Events Coordinator. With the Special Events Coordinator, maintains accurate digital records and files for each event to include sample invitations and programs, sponsor and mailing lists, contract copies, etc. 
  • In collaboration with team members, ensure database accuracy for event mailings, sponsorship solicitations, and event registration. 
  • Responsible for prompt and accurate filings of town, city, county and/or state permit renewals. 

Experience and Education:

  • Bachelor’s degree required
  • Special events management experience required. Fundraising experience preferred. 
  • Demonstrated track record with respect to detail orientation and accuracy.
  • Experience in Salesforce preferred.

Benefits and Compensations:

  • Hourly compensation range: Starting at $75,000 per year.
  • Eligible for all applicable benefits effective the first of the month following 60 days from your hire date.
  • Paid Time Off, accrues immediately but can't be taken until after 90 full days of employment : 3 weeks of paid time off, 10 recognized Holidays in addition to PTO, 1 personal day, and birthday.
