Description:

The Northern Virginia (NoVA) Coordinator of Office and Volunteer Services is responsible for handling the front office reception and administration duties, including greeting and assisting visitors and volunteers, answering the Food Bank’s NOVA phone line and volunteer inbox, sorting and distributing daily mail and delivery packages, and ordering and restocking office supplies.

Essential Functions:

Receptionist duties (60% of time):

  • Welcomes visitors by greeting them and answering or referring inquiries to the correct department as needed, utilizing courteous and friendly interpersonal communication skills. 
  • Maintains the professional appearance and organization of the front lobby, conference rooms, office supplies center, and office common areas.
  • Answers central telephone system and directs calls accordingly.
  • Manages the shipping and receiving of packages, mail notifications, and distributions, including postage machine usage, and mail room organization.

Volunteer Department (30% of time):

  • Greets and engages individual and group volunteers; ensures accurate sign-in;
  • Manages appropriate communication/engagement at beginning and end of shift;
  • Provides safety training for volunteers;
  • Manages all forms of volunteer communication in NOVA(phone calls, email);
  • Tracks survey responses, compiles data, and reports out monthly/quarterly to relevant parties;
  • Immediately addresses volunteer concerns and provides feedback for improvement;
  • Maintains volunteer data in volunteer database.

Other duties (up to 10% of time)

Minimum Requirements:

  • At least a High School Degree or equivalent with 3-5 years’ related office experience required.
  • Associates Degree or higher preferred.
  • At least 1 -2 yrs. of customer service experience, preferably in a non-profit work environment, preferred.
  • Demonstrated proficiency in Microsoft Office software to include: Word, Excel, Outlook, and Power Point.
  • Experience working with volunteers.
  • Spanish language fluency strongly preferred.

  • Demonstrates confidence troubleshooting technological systems, requesting IT support as needed.
  • Maintains a customer service mindset in all circumstances.
  • Possesses excellent oral and written communication skills.
  • Exhibits patience and compassion with individuals in need of emergency assistance.
  • Demonstrates confidence working independently without direct supervision for up to 90% of the workday.

Physical requirements:

  • Physical activities involve sitting for 90% of the workday.
  • While performing the duties of this job, the employee is regularly required to talk or hear.
  • The employee is frequently required to stand, walk, and use hands.
  • Regularly lifts office supplies up to 40 pounds.
  • Experience working with volunteers.

Schedule:

  • This position is an in person role
  • Regular hours are Monday – Friday from 8:30 am to 5:00pm
  • The position is based in Lorton, VA – 6833 Hill Park Drive Lorton, VA 22079

Compensation:

  • Compensation is $48,800 to 52,500 / annually
