Who We Seek

Hispanic Federation (HF) seeks a program administrator to support data and document collection, to review submitted programmatic and financial materials, and to ensure that grant repayment requests are accurate and correct according to HF’s internal protocol for public sector funds. The administrator will liaise with subgrantee organizations and work closely with them to ensure their submissions are correct and timely. Additionally, they will work collaboratively with HF’s internal departments to ensure reporting is sufficient to administer payments. The administrator also works to track data provided by the partner agencies and will retain all documents required for future reports, audits, and site visits.

The successful candidate will have an understanding of program administration and payment processing, experience working with communities of color in New York City, and a commitment to social justice. The manager will work with a diverse coalition of network agencies, government agencies and officials, and internal departments under the supervision of the Director for Immigration Programs.

This position is hybrid which requires at least 10 days per month onsite as a minimum, and at least one day a week. The administrator may be required to work offsite while completing site visits with community partners, and additional programs, as necessary.

Reports to: Director for Immigration Programs

Status: The position is Full Time with benefits for two (2) years, until August 2026

Job Duties and Responsibilities

  • Perform detailed reviews and analyses of subgrantee program budgets, expenditures, financial reports, and supporting documents.
  • Conduct paperwork reviews to ensure compliance with grant requirements and HF’s organizational policies as outlined.
  • Collaborate with HF program and finance teams to analyze any discrepancies in reporting and recommend corrective actions.
  • Provide support to subgrantees as it relates to their financial reporting to ensure they are making appropriate resource and budgetary allocations as it relates to their respective grant.
  • Identify opportunities and offer recommendations for process improvements within subgrantees' fiscal operation to the Director for Immigration Programs and other leads.
  • Prepare documentation and payment from subgrantees for submission to HF’s finance department, support in securing requested backup to release funding as goals are met.
  • Provide direct support to subgrantees to ensure reporting accuracy, schedule site visits or meetings as necessary to ensure subgrantees are on track to succeed.
  • Understand grantmaking and vouchering processes and support network agencies, serving as the point of contact for them, in this process.
  • Support in review of paperwork for network agencies to ensure compliance with state and federal regulations and meet the goals of their grant deliverables.
  • Support Immigration Program events and outreach as required, assist with other Hispanic Federation events and initiatives, as requested.

Required Skills and Qualifications

  • Bachelor’s degree, preferably in Business Administration, and at least two (2) years of related experience working with a nonprofit supporting community-based organizations, experience specifically around reporting and program administration is an asset.
  • Computer skills including Microsoft Office (Word, Excel, PowerPoint, Teams) along with other programs and operating systems required.
  • Excellent communication skills with strong research and writing experience is required.
  • Exceptional attention to detail and accuracy in fiscal reporting.
  • Excellent analytical skills with the ability to interpret financial data.
  • Experience with community engagement with and direct outreach to diverse communities is an asset.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Ability to prioritize, multi-task, and meet deadlines.
  • Exposure to managing budgets and financial tracking processes.
  • Experience with presentation and with public speaking.
  • Demonstrated commitment to advancing the Hispanic Federation’s values, mission, and goals.

Compensation and Benefits:

The position salary starts at $55,000-$65,000, and the salary is commensurate with experience. Compensation comes with a robust benefits package with fully subsidized medical, dental, and vision insurance available upon first day of employment, 403(B) retirement plans with a company match after 6 months, and access to flexible spending and pre-tax commuter benefits.

First year employees of the Hispanic Federation receive a PTO package with 15 days designated for vacation, 4 Personal Days, and 8 Sick Days annually.
