Overview:
The Future Society (TFS) seeks a highly organized and motivated professional to join our team as Events and Community Manager. The primary focus of this role will be planning and running our annual flagship event The Athens Roundtable on AI and the Rule of Law, as well as organizing other convenings throughout the year such as workshops, virtual events, and working groups. This senior role offers the opportunity to manage high-profile events, shape our coalition-building strategy, and build relationships with key stakeholders in the AI governance space. As Events & Community Manager, you will leverage your event organization experience, project management expertise, and stakeholder engagement skills to advance TFS’s mission of aligning AI through better governance.
Responsibilities:
- Acting as the project manager for The Athens Roundtable on AI and the Rule of Law, our annual flagship event (more information below). Planning and running The Athens Roundtable will include:
- Project Management: Creating a comprehensive plan, coordinating team members, tracking and driving progress, ensuring all milestones are achieved, and addressing issues promptly to keep the event on track;
- Strategy: Developing the overall vision and strategy for the event in partnership with our Director of Global AI Governance;
- Logistics: Overseeing event logistics, including venue management, liaison with co-hosts, equipment setup, catering, event live streaming, and coordination of on-site staff to ensure a seamless experience for in-person and online audiences (alongside Operations staff);
- Agenda: Overseeing the development of the agenda and working with the AI Governance team to drive the vision for sessions and provide briefings for our speakers and other participants;
- AI Governance Stakeholder Management: Mapping stakeholders, planning and overseeing the invitation process, nurturing high-profile relationships within TFS’s extensive network, providing a high-touch and personalized experience for our attendees, tracking RSVPs, and ensuring prompt responses and follow-up;
- Budget: Creating the event budget in partnership with senior leadership, approving expenditures, and tracking spend;
- Communications: Working with the Head of Communications to create and execute the event communications plan, including strategy, messaging, promotional tactics, photography and video, media outreach, branding materials, and post-event content.
- Production: Managing event production;
- Fundraising: Involvement in fundraising processes and activities relating to events.
- Responsibilities beyond The Athens Roundtable include:
- Conceiving, organizing, and facilitating additional events (online and in-person), community building efforts, and stakeholder engagement activities throughout the year;
- Coordinating with AI governance staff to ensure that event content aligns with TFS’s mission and the current needs of the rapidly evolving AI governance space;
- Independently manage project timelines, budgets, and resources for successful execution of events;
- Contribute to TFS’s overall stakeholder engagement and partnership strategy.
- We anticipate that The Athens Roundtable program will require approximately 50% of your total working hours from January through July, alongside other responsibilities, and 100% of your time from August through December each year.
What we’re looking for:
- Required:
- Strong interest in TFS’s mission of aligning AI through better governance;
- Proven track record of owning and managing high-profile events;
- Exceptional project and people management skills;
- Experience managing contractors and vendor relationships;
- Excellent interpersonal skills and ability to navigate relationships with high-profile individuals and diverse stakeholders;
- Strong communication skills, both written and verbal, with the ability to adapt to the needs of varying audiences;
- Attention to detail, proactivity, resourcefulness, and adaptability;
- Ability to work independently and collaboratively in a remote environment;
- Willingness and ability to travel internationally two to three times per year, and potentially more if required;
- Full professional working proficiency in English.
- Preferred:
- 5+ years of event management experience;
- Understanding of the AI landscape, including key institutions and policy issues, and familiarity with key AI actors;
- Prior experience in the AI governance or technology policy space;
- Experience running online events (hybrid events, livestreams of in-person events, and online only events) and experience building out event audiences;
- Work location from Pacific Time to Eastern Time preferred.
Compensation: For U.S.-based candidates, $104,600-$113,800 depending on location. For candidates based outside the U.S., $94,200. Please note that TFS uses a formulaic salary structure and does not negotiate compensation on an individual basis.
Benefits: For a U.S.-based hire, benefits include medical, dental, and vision insurance as well as a 403(b) retirement plan with an employer match at three percent of salary, 30 days of annual leave (including floating public holidays), and 10 days of sick leave each year. For non-U.S. employees, we match the U.S. standard as closely as possible or use local mandatory levels, whichever is highest.
