Summary of the Position 

This is a contract-funded position for a new rapid-response initiative that the NYIC is undertaking to support vulnerable migrants and asylum-seekers throughout New York State. This position will be for a period of one year with the potential to extend for one more year, for a total of two years. The continuation of this position beyond two years is contingent upon available funding.


The Training Associate will manage the training calendar, online and in-person training, back-end data collection, training curriculum development, and DOJ Recognition & Accreditation support and communication.


 Position Details

Under the direction of the Training Manager, the Associate will play a key role in training and supporting NYIC members and partners to better serve their communities. The primary responsibility will be to coordinate trainings for the NYIC’s Welcoming New York Training curriculum. The Associate will also lead the organization’s technical assistance to Welcoming New York Regrantee organizations and support a full calendar of trainings on topics critical to organizations, social service providers,  and legal service providers serving immigrant communities. In addition, the Associate will help the NYIC manage and update our Salesforce database and other technological systems to track and report on program data and streamline training logistics. Additional responsibilities include supporting New York-based nonprofits on DOJ Recognition and Accreditation (R&A), which allows certain non-lawyers to represent low income community members in immigration matters. 


Responsibilities include, but are not limited to:  

Training Program Coordination 

  • Coordinate and provide support for the Immigrant Concerns Training Institute’s programs for immigration lawyers and DOJ accredited representatives, in alignment with  grant obligations and departmental goals. 
  • Manage training logistics, including training promotion, registration, and setup of  technology and training materials; provide excellent customer service to training  participants, including responding to inquiries. 
  • Facilitate smooth delivery of trainings through providing logistical and technology  orientation and support to participants and presenters. 
  • Administer Continuing Legal Education (CLE) credits and ensure compliance with New  York CLE Board regulations of accredited providers. 
  • Support periodic curriculum development for trainings, including design of interactive  activities to increase participant engagement.


Technical Assistance 

  • Lead technical assistance program for organizations under the ONA Welcoming NY Resettlement Grant
  • Lead technical assistance program for organizations seeking DOJ Recognition and  Accreditation, including fielding questions and providing application feedback 
  • Co-present periodic webinars on DOJ R&A for staff and volunteers of New York-based  nonprofits. 
  • Serve as a main point of contact for training inquiries from ONA Welcoming NY organizations


Monitoring, Data Analysis, Reporting, and Other Duties 

  • Maintain and innovate systems to efficiently collect, organize, and analyze data relevant to training program and required deliverables using Salesforce and other technology.
  • Assemble quarterly reports summarizing progress on grant deliverables. 
  • Gather and analyze feedback to identify training needs and available trainers among  immigrant-serving organizations across New York State. 
  • Delegate administrative tasks to interns and fellows as needed. 
  • May occasionally carry or move materials weighing 50 pounds or less.


Qualities Sought 

  • 2-3 years of experience supporting trainings; project management; legal services; or in a  high-level administrative support role, ideally with an immigrant-serving or social justice  organization experience 
  • Experience interfacing with external stakeholders 
  • Excellent interpersonal skills and conflict management skills 
  • Strong organizational skills, ability to prioritize projects and follow through on detail with  high-level accuracy 
  • Ability to work independently and take initiative, and manage multiple tasks under  deadline pressure 
  • Must be a team player and able to adapt as necessary to changing circumstances 
  • Computer fluency, particularly in Google Suite, Microsoft Office, project management  software, Salesforce or other similar CRM, and Zoom. 
  • Comfort with public speaking.


Preferred 

  • Basic understanding of immigration law and / or familiarity with DOJ Recognition and Accreditation  
  • Experience working with New York Continuing Legal Education 
  • Experience managing grants and contracts  
  • Knowledge of and commitment to social justice and immigrant justice 


Important facts to know about this opportunity:

  1. This position is mostly on-site, with a requirement of being in the office 4 days per week and remote 1 day per week.
  2. The NYIC has a staff-wide vaccine mandate. Staff must be fully vaccinated and provide proof of vaccination to HR before being onboarded


Salary: $55,620/year
