Operations Director

The Operations Director is a full-time, exempt position reporting to the Executive Director. The Operations Director is responsible for the day-to-day operations of the organization, specifically that of finance, human resources, technology and facilities. The Operations Director creates a strong organizational foundation that allows RC to achieve its mission and ensures its long-term sustainability by managing the essential functions of financial oversight, safety, human resources, volunteer management, and special projects.

Primary Roles and Responsibilities

Human Resources (25%)

  • Maintain and oversee processes reflecting best practices for retention and  hiring, on-boarding, exit interviews and off-boarding, benefits administration, and compliance
  • Manage employee benefits administration including healthcare and other insurance, retirement plans, Orca business passports, and annual contract renewals
  • Work with accountant to ensure payroll is done accurately and on-time 
  • Maintain and update employee personnel files
  • Oversee annual staff evaluation process
  • Investigate and manage HR issues that arise within the organization; work with external consultants as needed. 
  • Ensure Employee Handbook is updated regularly 

Financial Oversight (25%)

  • Provide monthly financial reports and metrics to the Finance Committee and Board, and attend monthly Finance Committee meetings
  • Ensure compliance with calendar of fiscal and legal obligations 
  • Work with Executive Director and department heads to develop and track their annual budgets, and maintain records for associated financial collateral 
  • Approve, code expenses and sign checks
  • Manage contract with accountant and supervise bookkeeping functions 
  • Oversee and continuously improve system of financial controls 

Facilities Management and Office Operations (15%)

  • Address issues related to current and future leases, including communications with maintenance workers, building owners, and property management as needed
  • Facilitate quarterly Safety Committee meetings in compliance with local, state, federal law
  • Schedule annual safety trainings, drills, and emergency supply acquisition
  • Work with Office Manager and IT consultant to monitor and implement on-going technology improvements

Volunteer Management (20%)

  • Maintain timely communication with all active volunteers via email or phone
  • Train volunteers and staff in the use of online volunteer management program (currently Volgistics) and other volunteer tools
  • Implement, maintain and update volunteer policies including written manuals and procedures to effectively and efficiently manage programs across organization; maintain current application and background materials for all volunteers
  • Submit quarterly reports of volunteer data to the accountant
  • Manage Clean Hands Collective project including part-time staff, interns and volunteers
  • Manage annual Resource Guide project including volunteers, website and content updates, sponsorship procurement with Development & Communications,  printing and distribution

Leadership and Administration (15%)

  • Hire, train, and supervise Office Manager, interns, and volunteers; actively support employee growth and development and conduct evaluations
  • Provide backup support for Vendor Program operations including scheduled and on-call shifts as needed
  • Participate in Leadership Team 
  • Participate in executing RC’s strategic planning goals and objectives
  • Other activities as assigned

Required Skills:

  • Ability to bring an anti-oppressive lens to all parts of this work, with a willingness to keep an open mind and continually self-educate
  • Ability to understand and interpret financial reports and generate data related to financials
  • Ability to lead Human Resources department; Listen, support, hold accountable, mentor staff; understand and implement legal obligations related to human resource management
  • Ability to negotiate and manage contracts with vital external partners; navigate financial risk to the organization using the organization’s budget and/or discussing contracts with the Executive Director, and ensure the wellbeing of the organization in those relationships
  • Proficiency in computer applications and programs, such as Quickbooks Online, Google Suite, shared drives, Zoom, online banking platforms; ability to learn proprietary software (FileMaker Pro)
  • Ability to set and track organizational performance metrics and goals
  • Ability to collaborate with others using patience, active listening, and respect
  • Ability to make decisions and bring others along with a decision that isn’t popular

Compensation: Salary range is $74,000 - $78,000. Benefit package includes Health and Dental coverage, generous PTO - 3 weeks’ vacation, 2 weeks’ sick, 11 holidays, 403B Retirement Fund with a 4% Real Change contribution, and professional development funds.
