About the Role

We are seeking a qualified candidate for the position of Human Resources Assistant. The Human Resources assistant will support the Human Resources Manager with the growth and development of new Doors Open staffing initiatives as well as day-to-day operations of the department.

You will be most successful in this position if:

  • Have experience working in a fast-paced administrative environment.
  • Have experience building systems and processes, with the ability to create related documentation and trainings for the systems/processes.
  • Can quickly adapt to new practices and procedures

  • Initiate and drive continuous process improvement, focusing on aligning practices and ensure consistency and efficiency.
  • Support the needs of 4Culture staff, hiring panel members, and job applicants in an effective and professional manner.
  • Maintain the integrity of all HR issues, data, and employee information in a confidential manner.

Supervisory responsibilities:

This position has no supervisory responsibilities but may occasionally oversee interns/volunteers.

Job Responsibilities:

Provide support to Human Resources Manager through:

Benefits and Onboarding

  • Upload benefit documents and changes to online portals and mail hard copies
  • Maintain Employee Records (hard copy and digital)
  • Track employee onboarding and/or offboarding tasks
  • Support collaboration between IT, Hiring Managers, and Human Resources

Talent Acquisition and support

  • Post jobs to external websites
  • Build job applications in Salesforce and WordPress (training provided)
  • Respond to inquiries from the public related to job postings
  • Support Hiring Managers and Hiring Panelist with recruitment processes
  • Perform Reference Checks for job applicant finalists
  • Track and analyze recruitment sources
  • Assist with Job Fairs (as needed)

Labor Laws and Compliance

  • Support HR Manager with compliance with labor laws and regulations
  • Assist with safety record keeping and program administration, including the tracking and monitoring of necessary OSHA compliance record keeping and safety training information.

Professional Development & Well-being

  • Tracking and cataloging professional development opportunities for staff
  • Clerical and administrative support for our Well-being initiative.

NOTE: this position has no payroll or accounting responsibilities.

Minimum Qualifications:

We are looking for candidates that can demonstrate they have the skills listed above through a combination of their work, education, and life experience as demonstrated in their resume, and cover letter.

  • Degree or certificate in Human Resources, Administration, or related field OR 3 years of Human Resources administrative experience OR Candidates that can demonstrate they have the skills listed above through a combination of their work, education, and life experience as demonstrated in their resume, and cover letter.
  • Proficiency in Teams and Microsoft Office 365 including Outlook, Word, PowerPoint, Excel.
  • Experience with Salesforce or similar CRM, HRIS, HCM, software or platforms.
