POSITION SUMMARY - This position is based in Arlington, VA

The Senior Coordinator provides core support to the Foundation Relations team and assists in the general activities and operations of the Development Division. The position coordinates fundraising processes with relationship managers, supports the development of high-quality proposals and reports to donors, and manages administrative tasks for the team, such as database entry, meeting management, and drafting acknowledgment letters.  The Senior Coordinator also manages a small portfolio of foundation donors. Additionally, the Senior Coordinator conducts donor research; monitors news related to key donors; supports grant management and donor stewardship; and provides general administrative support to the department as needed. Duties are performed under general supervision.

RESPONSIBILITIES

Administrative Tasks:

  • Provide administrative support for the Foundation Relations team, which may include processing financial expenditures, completing expense reports, assisting with credit card statements, and coordinating travel.
  • Organize regular team meetings, including scheduling, agenda management, taking notes, and tracking action items.
  • Draft and send donor correspondence.
  • Support all Foundation Relations processes, and department-wide efforts, such as mass mailings.

Data Management and Analysis:

  • Ensure key information about donors and prospects is entered and updated in the relevant database (Raiser's Edge) and generate regular reports.
  • Ensure that lists feeding from Raiser’s Edge to other systems accurately reflect team progress while troubleshooting misaligned data points.
  • Have ownership over the above lists and a deep understanding of how each system works independently and together.
  • Regularly cross-check reports to reconcile fundraising data across systems.
  • Track incoming gifts/payments from foundations.

Donor Stewardship & Cultivation:

  • Serve as relationship manager for a small portfolio of foundation donors, in collaboration with supervisor and relevant project staff.
  • Create and disseminate weekly and bi-weekly deadline reminders to ensure that the Foundation Relations team is aware of and ready for upcoming donor deliverables.
  • Prepare and send formal acknowledgment letters for foundation payments to CI.
  • Help Relationship Managers gather supporting documents for proposal submissions. Maintain up-to-date versions of all institutional documents in SharePoint (Board approved budget, legal documents, demographic data, etc.)
  • Support the development of concepts and/or donor proposals
  • Conduct foundation research in tandem with the Prospect Research team to identify new prospects, support donor strategy development, and compile briefing details for executives
  • Perform related duties as assigned for the Foundation Relations team and Development broadly, as needed. 

WORKING CONDITIONS

  • Typical office environment.
  • Flexibility in the work schedule to accommodate time differences with Arlington and field programs may be necessary.
  • This position follows a hybrid work structure, from the office at least ten days per month. Specific guidance will be shared during the interview process.

QUALIFICATIONS

Required

  • 2- 4 years of related work experience (e.g. working in an office setting or equivalent and providing administrative support to a team).
  • Fluency in English with strong communication, proofreading, and writing skills.
  • Organized with a strong attention to detail, and ability to manage multiple processes and competing deadlines, working both independently and in a team.
  • Ability to function well in a multicultural, diverse, and fast-paced work environment.
  • Ability to work effectively as a member of a geographically dispersed team and to communicate with remote colleagues. Comfortable communicating via phone, Microsoft Teams, Zoom, etc.
  • Demonstrated passion for and interest in conservation and human development.

Preferred

  • Bachelor’s degree.
  • Experience with Raiser’s Edge or another customer relationship management (CRM) database.
  • Proficiency in Microsoft Excel, Power Query, and/or Project Management software.
  • Experience with foundation fundraising and/or grant writing.
  • Knowledge of other CI languages (Spanish, French, Portuguese, or Bahasa Indonesian).
