Title: Executive Assistant, Growth and Engagement

Reports to: Chief Officer, Growth & Engagement

Location: Greater Boston (In office work 1-3x/week)

Status: Full Time; Exempt (IC2/B3)

Start Date: Immediate

Salary Range*: $55,000 - $60,000

Facing History & Ourselves is a global education non-profit organization that challenges teachers and students to use lessons of history to stand up to bigotry and hate.

As a member of the Growth & Engagement Team, the Executive Assistant will play an essential role in the success and function of the Chief Officer (CO) and the broader Growth and Engagement team, which includes a Staff of over 15 team members. This role will be responsible for all support including: travel, logistical, administrative, calendaring, and programmatic needs for the Chief Officer and members of the team.

You will provide direct support to the Chief Officer (CO) and will frequently represent them and the organization as a whole through verbal and written communication with a variety of stakeholders. You will also provide administrative support to the subset of strategic initiatives and projects that falls under their leadership, including development and innovation of school and district partnerships, development of an earned income revenue stream, international partnerships and other external engagement

You will join a dedicated and close-knit team of professionals and will have a front row seat to the structures and strategies that make up a successful non-profit enterprise.

Who We Are: The Growth & Engagement team is a new department at Facing History, composed of long-time team members who have worked closely together around our earned revenue efforts. We are passionate about the mission of Facing History about bringing the impact of our work to more schools and districts than ever before.

Specific Responsibilities Include:

  • Provide logistical, administrative, and programmatic support for the Chief Officer of Growth & Engagement and team members including scheduling, calendar management, note taking, record management, research, and monthly expense processing
  • Assist in the continued development and roll out of the school & district partnerships model, which includes scheduling, supporting program delivery for test cases, and developing communications and presentation for leadership and org-wide Staff related to this work.
  • Contribute to the development of the Earned Income Project by tracking the organization’s growing earned income/fee-for-service revenue in Salesforce and reporting as needed. Collaborate with colleagues on documentation around this project and coordinate with Finance on invoicing and payment. This role will also report out monthly on reaching our org-wide earned income goal and general earned income strategy
  • Provide significant logistical, administrative, and programmatic support for the development and implementation of Schools Where We Belong and District work, including scheduling, note taking and facilitating communication across a variety of internal and external stakeholders. In addition, this role will track key information for senior stakeholders in Salesforce through the sales pipeline.
  • Serving as a Digital Classroom Manager (DCM) and tech lead for org-wide professional development offerings
  • Offering logistical, administrative, and programmatic support and coordination for Program events, including preparing presentations, communications, and other materials related to workshops and seminars offered around the country through the district partnership and national fee-for-service work
  • Providing administrative and logistical support and coordination for Facing History’s participation in national and regional educational conferences and local events as requested
  • Tracking expenses against budget
  • Maintaining and reconciling contact and event information in Salesforce for a variety of projects and programs, running reports as requested
  • Working in coordination with the Marketing and Communications Department on the development of basic marketing and communications materials

Essential Skills and Qualities:

  • Minimum of 2+ years of administrative support and office management experience working with senior level administrators; preference for work done in non profit and matrixed organizations
  • Experience in project coordination in a fast-paced nonprofit context desired
  • Understands and embraces the critical role administrative coordination and support plays in the success of senior staff and the organization as a whole
  • Experience and comfort level working with multiple leadership styles; ability to “manage up” when needed.
  • Experience with Google Suite tools such as GMAIL, GCal, Drive, etc.
  • Experience with Microsoft tools such as Word, Excel, and PowerPoint and other web tools
  • Familiarity with Salesforce (helpful, but not necessary)
  • Proven ability to create effective systems for managing multiple projects
  • Excellent logistical, organizational, administrative, and management skills
  • Good writing, editing, note taking, and clear general communication skills
  • Willingness to operate in the ambiguous but exciting environment of a pilot
  • Both team player and a self-starter

?Hybrid Work Model: Facing History and Ourselves operates in a hybrid work model, allowing staff flexibility in both schedules and work locations. This particular position is home-based. Some travel is required.
