Position Purpose

The CLF Administrator primarily supports our Boston-based Worthy Now Prison Ministry program with over 1800 incarcerated members across the country. Our program consists of both electronic communication and written/mailed correspondence. The Worthy Now program receives and answers letters, publishes and mails newsletters, etc. There are many administrative tasks necessary to provide our prison ministry and bring to our incarcerated members the message that they are worthy, right now, just as they are.

Additionally, we need administrative help with our ministry to our free world members - answering phones, email and postal mail, sending mailings to the congregation, processing donations, and keeping the CLF office supplied with the materials to carry out our mission. 

We are looking for someone who loves to organize and get the details done, no matter how small or how big, to be an instrumental part of our ministry.

Hours and schedule

  • 19 hrs/week, 4-6 hours per day 
  • Weekday office hours expected with flexibility as to which hours between 9am-8pm. Must be available for key meetings on Thursdays 1:30-3pm ET
  • Opportunity to move into full time position in 2025

Location: 24 Farnsworth St, Boston, MA (This is not a remote position, but is a low density office. Most other employees work remotely.)

Salary: $27/hour

Essential Functions

  • Open and sort mail
  • Send membership inquiry packets
  • Process new member applications
  • Send new member class materials
  • Process pen pal applications
  • Assist in pen pal matches
  • Research and record new addresses from returned mail.
  • Scan and electronically file correspondence
  • Forward and electronically file correspondence for key staff
  • Respond to letters with care and thought
  • Organize and administer Holiday Message program
  • Record mailed in registrations/votes
  • Research and implement facility address and mailing rule changes
  • Record all contact in CRM
  • Order office supplies
  • Mail material to remote staff
  • Service calls for printer
  • Deposit donation checks
  • Send annual renewal letters, fundraising letters, etc via mail merge
  • Respond, forward and record in member database - all incoming contact via main phone line, main email, website contact us form, etc
  • Pack, organize and unpack boxes for conferences

Skills/Knowledge 

  • Proficient to Expert skill level in Google Office 
  • Proficiency to Expert skill level in Microsoft Word 
  • Must be expert in Word/Excel mail merges
  • Accurate typing skills and ability to proofread
  • Ability to scan documents and upload to Google Drive
  • Proficient using a CRM (customer relationship management software)
  • Demonstrated knowledge and experience of Unitarian Universalism

Physical Requirements

  • Ability to use a computer
  • Ability to use copier machine
  • Ability to be onsite at 24 Farnsworth St, Boston, MA 
  • Ability to move boxes of materials

Experience

  • Administrative experience including copying, filing, sorting, scanning
  • Experience in organizing project priorities
  • Demonstrated competency in customer service; experience with speaking on the phone to customers and establishments 
  • Success in working both independently and collaboratively
  • Experience in writing correspondence
  • Experience using CRMs
