Position Objective

Provides high-level administrative support to the President/CEO of the MD|DC Credit Union Association, a trade association representing credit unions in the Maryland and Washington, D.C. area. Serves as the main point of contact and support for the Board of Directors. The ideal candidate is experienced, reliable, detail oriented and can effectively manage workflow. This position supervises administrative support staff.

Position Description

President/CEO Support

  • Plan and organize events such as business luncheons, dinners and receptions.
  • Maintain the corporate master files and internal records.
  • Prepare/edit reports, meeting minutes, emails, letters, as well as assist in developing presentations, briefing materials and agendas for meetings and conferences.
  • Ensure processing of expense reimbursements and other administrative paperwork.
  • Process and maintain sensitive and confidential documents and information.
  • Coordinate complex projects, ensuring deadlines have been fully communicated, CEO is updated on progress and project is kept on track for successful completion.

Corporate Secretary

  • Serve as corporate secretary for the Association Board of Directors.
  • Coordinate meetings of the Association Executive Committee and Board of Directors, prepare and post agendas, materials and communications for meetings.
  • Prepare and maintain board governance records.
  • Maintain a high level of knowledge regarding Association bylaws, policies and procedures.
  • Coordinate meetings of the audit committee, board subcommittees and ad hoc committees appointed by the Association Chairman or CEO.
  • Maintain the on-line portal and upload documents for all Board of Director business.

Advocacy Support

  • Assists in coordination of legislative receptions, schedules advocacy committee meetings and records/prepares minutes, provides administrative support for political action committees and other advocacy programs.
  • Maintains and updates the Committee's master files and internal records.
  • Schedule meetings with local, state and federal elected officials and regulators.
  • Prepare Political Action Committee required reporting and documentation, including financial reporting to appropriate legal parties.

Operations Liaison

  • Act as the liaison between Plexcity, our shared services company, and the operations and staff of the Association.
  • Maintains the personnel files of the Association staff and assists Plexcity HR staff in the collection of HR related materials from staff.
  • Acts as the local contact for Workers' Comp injuries and reports any issues to Plexcity HR for claim management.
  • Responsible for the accurate and timely depositing of checks received, invoice requests and invoice payments.
  • Assists with yearly CPA audit information gathering.
  • Responsible for entering and approving invoices into bill.com, tracking payments and collection of overdue invoices.
  • Act as point of contact for Property Management Company and responsible for general facilities management, including security system, and office equipment.

Special Events

  • Responsible for planning staff and other organizational events.
  • Work in tandem with CEO on Annual Charity Golf Event, invoicing, sales collection, set up, execution, follow-up.

Job Requirements

  • Bachelor's degree in business administration, Communications, Human Resources or related field.
  • Six years administrative experience including two years performing executive support in a corporate environment.
  • Strong verbal, written, analytical and interpersonal skills.
  • Proficiency in MS Office Suite including: Word, Power Point, Outlook and Excel.
  • Strong administrative skills with ability to write at a professional level and take minutes.
  • Proven ability to work independently with minimum direction.
  • Organizational skills with ability to efficiently multi-task.
  • Ability to move or lift heavy objects such as boxes, tables, etc.
  • Travel to off-site events.
