The Atlanta History Center is looking for a highly motivated and results-oriented professional to fill the full-time role within the organization of Development Operations Coordinator.

As a member of the Development team at Atlanta History Center (AHC) the individuals' primary responsibility is to facilitate and lead all gift processing, acknowledgments, and data integrity for the team. This is a critical role in the Development Department to maintain best practices in data management, stewardship of current donors, and research of prospective donors.

Main Duties and Responsibilities

Gift & Record Management 50%

  • Daily process all gifts received across Development functions – membership, major gifts, gala, Campaigns, projects, etc. Including ensuring supporting materials are collected interdepartmentally.
  • Directly supports Cherokee Garden Library regarding maintaining donor records, gift receipts, gift acknowledgments, and gift entries.
  • Manage matching gifts, as they relate to non-membership donations.
  • Work with the Director of Membership and Donor Services on internal audits of gifts.
  • Lead Development department with in-house mailing processes.
  • Works with the Director of Major Gifts and Individual Giving on Swan House Ball and Insider mailings and related communications.
  • Manage donor acknowledgment letter process including pulling/merging letters, proofing letters, printing, mailing, and sending letters. 
  • Primary staff member to manage the digitalization of donor records and organization of print documents including managing the hard files.
  • Participate in quarterly gift audits with the Finance team.

Database Administration 45%

  • Assist in several aspects of the Tessitura database, including data entry and database cleanup.
  • Provide integral data support across the organization within Tessitura working closely with the Director of Membership and Donor Services.
  • Aid in updating, documenting, and implementing policies and procedures relevant to the organizational use of Tessitura.
  • Handle ad-hoc interdepartmental data requests promptly.    
  • Coordinate interdepartmental meetings as they relate to Tessitura updates, procedures, and best practices.                                                                
  • Support staff members to pull and proof lists related to organizational mailings.
  • Assist in data health processes and third-party vendors related to Tessitura.
  • Primary staff member to enter development data as it is related to appeals, attendance, actions, and other donor attributes.
  • Primary staff member to pull lists for organizational communications (postcards, newsletters, etc.), Cultivation/stewardship efforts (holiday cards, etc.), and Generate donor listings (philanthropy report, other listings as needed).
  • Manages all Development pledge reminders.

Other 5%

  • Participate in the Development and select institutional events.
  • Perform other related duties and responsibilities as required and assigned.

Requirements

  • Bachelor’s or Associate Degree.
  • 1-2 years of related work or other experience in database management, use of technology, and/or project management.
  • Excellent computer skills and strong knowledge of Microsoft Office. Use or knowledge of CRM software, such as Tessitura, Salesforce, Raiser’s Edge, is a plus.
  • Strong oral and written communication skills.
  • Strong interpersonal skills with demonstrated ability to work collaboratively
  • Ability to set and meet deadlines with minimal supervision, prioritizing duties effectively and efficiently
  • Strong project management ability to manage multiple tasks and priorities including good follow-through
  • Detail-oriented, meets deadlines and is timely
  • Excellent organizational skills
