The Agency:
Americans for Immigrant Justice (AI Justice), an award-winning not-for-profit legal services organization founded in 1996 to protect and promote the basic human rights of immigrants, has a multicultural and a multilingual staff. AI Justice has represented clients from around the world and is recognized as a powerful advocate and national leader for immigrants' rights. AI Justice works closely with traditional civil rights groups as well as grassroots organizations and local, state and national government officials to affect positive change in immigration policies.
DUTIES:
- Welcome clients and visitors to the office and direct them to the appropriate staff member or external referral.
- Answer a high volume of phone calls using a computer-based telephone system, including responding to inquiries about our services, transferring phone calls, and making referrals to other organizations.
- Provide information about our services and screen for eligibility for our services.
- Provide general administrative support to the organization.
- Responsible for office supply inventory, including maintaining inventory and ordering supplies.
- Maintain adequate postage in the meter.
- Ensure that all mail is stamped and taken to the Post Office daily and Federal Express packages are taken to a drop box.
- Provide staff with helpful information pertaining to mail protocols.
- Provides front desk training to all new crew members.
- Assist the Administration Team with sending email communications to staff.
- Perform other tasks such as email communications, typing of forms and other documents, mailings, and related support tasks as required.
- Assist the Administration Team with Onboarding tasks.
Qualifications:
- Minimum: High school degree. Associate’s degree preferred.
- Six months to one year of experience as a receptionist, including use of a telephone system, preferably in a legal office, preferred.
- Bilingual in English and Spanish is required. Ability to speak Haitian Creole a plus.
- Excellent customer service skills. Pleasant personality and patience with challenging individuals required.
- Excellent verbal and written communication skills.
- Knowledge of administrative and clerical procedures as well as customer service principles and practices.
- Strong computer skills, including knowledge of Microsoft Word, Excel and Outlook; accurate data entry skills needed.
- Ability to work under pressure and multi-task.
- Attention to detail, initiative, and reliability.
- Ability to work well with other staff, learn new skills, and accept responsibility.
- Enthusiastic about and committed to working alongside people from diverse cultural, educational, professional, and socioeconomical backgrounds. A demonstrated belief in diversity, inclusion, and equity for all individuals.
- Ability to work independently and under pressure.
- Comfortable working in a collaborative environment that values giving and receiving feedback.
- Experience working in a non-profit, a plus.
- Must have own transportation
- Must be willing to submit to an extensive background check, including FBI, statewide repository, and sex offender registry checks
EDUCATION:
- Minimum: High school degree. Associate’s degree preferred.
Location: Miami, FL
Salary & Benefits: Starting salary is $42,800. AI Justice offers a comprehensive benefits package, including excellent health, vision, and dental, and life insurance coverage; 15 paid days of vacation leave; 13 paid holidays; 10 paid health days; 1 personal day. It also includes a TriRail discount commuter benefit and $50/month cell phone stipend to off-set communication expenses. After one year of employment, staff are entitled to paid parental leave and up to 3% matching employer contribution to 403(b) retirement plan with increase eligibility thereafter.
