ORGANIZATIONAL OVERVIEW

In 2022, the Federation granted and loaned more than $245 million, making it the single largest funder of Jewish causes in the state of California. 

The Federation is seeking a highly motivated and qualified individual with a variety of skill sets who wants to join a team working to build a new model of 21st century and next generation Federation engagement. 

ROLE SUMMARY 

We are looking for an Events and Stewardship Associate to join our dynamic team! In this pivotal role, you will coordinate and deliver exceptional engagement opportunities that resonate with our community and supporters, fostering lasting connections and stewarding the relationships that are the heartbeat of our organization. This role reports to Sr. Associate, Events. 

ESSENTIAL FUNCTIONS 

Events Program: 

  • Support execution of unique, memorable, and impactful experiences for funders, donors, stakeholders, and prospects. 
  • Assist with planning, execution, and evaluation of in person and virtual events,
  • programs, and initiatives designed to engage and steward relationships 
  • Assist with contracts, and proposals with service providers and vendors. 
  • Coordinate and prep for events including creating staffing plans, run of shows and other
  • briefing documents. 
  • Manage event registration process and reporting. 
  • Oversee event set-up and tear-down, ensuring adherence to venue and safety
  • regulations. 
  • Handle logistics, including transportation, accommodation arrangements for guests, and equipment rentals. 
  • Troubleshoot any issues that arise during events promptly and efficiently. 
  • Maintain records related to events, including financial documentation, contracts, and
  • post-event reports. 

Donor Stewardship and other responsibilities: 

  • Assist with developing and maintaining an event calendar to ensure timely and
  • meaningful engagement and recognition of donors, funders, or stakeholders. 
  • Participate in the planning of travel and programmatic logistics for trips and missions
  • hosted by the Federation. 
  • Partner with the Marketing department to manage communication materials such as event invitations, onsite collateral, and donor acknowledgements. 
  • Oversee acknowledgements and communications sent to donors and post-event attendees. 
  • Manage and execute acknowledgements for donor stewardship programs with 
  • Collaborative Philanthropy team.

Requirements

 KNOWLEDGE, SKILLS, ABILITIES 

  • Excellent verbal and written communication skills 
  • Knowledge of CRM software and donor database management (e.g. Salesforce,
  • Marketo, Classy) 
  • Self-starter who takes initiative and can balance big picture strategy and execution
  • against plans 
  • Ability to work collaboratively with cross-functional teams 
  • Strong analytical and strategic thinking skills 
  • Creative mindset with an innovative approach to problem-solving 
  • Flexibility to travel within Bay Area and work evenings and weekends as required for
  • events and programs 
  • Familiarity with Jewish community and culture 

EDUCATION AND EXPERIENCE 

  • Minimum 2 years of professional experience in customer service, event planning, or donor relations 
  • Strong knowledge of Microsoft Office (Excel, Word, Mail merge)
