HOURS: Full-time, Exempt

LOCATION: Washington D.C. (on-site). Although Grassroots Health primarily operates on-site, we discuss remote work opportunities with staff members after they successfully complete their first 90 days.

SALARY: $58,700-$65,000 (Senior Evaluation Coordinator) $65,000-$75,000 (Evaluation Manager)

REPORTING STRUCTURE: This role will report directly to the Executive Director.

THE ROLE:

As Grassroots Health aims to expand its impact in Washington, D.C., we seek to build sustainable infrastructure by increasing capacity and efficiency to prepare for future growth. This role will enhance the strong systems and operations foundation already established at Grassroots Health, improving operational effectiveness and supporting the organization in reaching more youth and increasing its impact in the coming years.

Depending on your education and experience, candidates will be placed at either the Senior Operations Coordinator level or the Operations Manager level. While both roles have similar responsibilities, the Operations Manager will be expected to operate with greater independence. For more details on placement, please see the final section.

The Operations Manager will wear several hats; excitement for this is crucial to the success in the role. Some key responsibilities will include:

30% General Operations and Office Management

  • Manage office operations including paying rent, overseeing conference reservation systems, submitting service requests as needed, and more.
  • Evaluate and improve the use and effectiveness of organizational systems (Asana, Slack, Google Suite, etc.) and operations (SOPs). Manage all contracts and subscriptions for all systems and services.
  • Oversee business operations, maintaining compliance with all business registrations and applicable organizational insurance coverage.
  • Manage the distribution and upkeep of organizational technology, including staff laptops.

40% Financial Operations

  • Manage and monitor credit cards and bank accounts.
  • Coordinate documentation for the monthly financial close process, in partnership with the organization’s external accounting firm, Jitasa.
  • Prepare grant budgets, monitor grant spending, and finalize grant financial reports needed.
  • Support the Executive Director in the preparation and submission of the annual 990 and audit with support from external contractors (currently Alta CPA group and Jitasa).
  • Support the Executive Director in regular budget planning, monitoring, reporting, and forecasting.

20% Human Resource Operations

  • Lead technical aspects of the onboarding and offboarding process for employees, including new employee paperwork, issuing building FOBs and credit cards, as well as collections of all organization property for off-boarding employees.
  • Run payroll bi-weekly for salaried and hourly employees.
  • Oversee benefits administration for employees, including Health Reimbursement Arrangement (HRA), 401k, SmartBenefits, and professional development funds.
  • Oversee and support talent acquisition through management of job postings (Workable, Indeed, Idealist, LinkedIn), creation of job descriptions and interview materials, scheduling interviews, and outlining any pre-boarding steps for candidates (i.e. background checks, reference checks).

10% Program Operations Support

  • Purchase program supplies, apparel, and food as requested by the program team to aid in program implementation.
  • Manage Uber Business for volunteers, including soliciting the completion of the Uber Business acknowledgment form, adding volunteers to the account, and conducting monthly audits to check for compliance.
