For the last several years, BoardSource has been on a journey of transformation. Where BoardSource began as an organization primarily focused on meeting the technical support needs of individual boards, it has been shifting to become a more complex and impactful organization. Presently, BoardSource is applying a new theory of change to marry our more than 30+ years of technical support to boards with a strong voice advocating for necessary changes in nonprofit governance to center equity and advance our sector.  This is an exciting time to join our team!

Position Summary

The Program Coordinator will provide critical administrative and logistical support to BoardSource’s Education Team and our expanding and evolving training, education, and thought leadership programs. Our Education Team consists of the Chief Program & Strategy Officer (CPSO), Director of Governance Strategy, Senior Manager of Governance & Education, Director of Governance Networks & Innovation, Director of Member Engagement and Marketing, and Marketing & Membership Manager, with 1-2 more positions to be added to the Team in the next 12-18 months.  Reporting directly to the CPSO, the Program Coordinator must be able to work comfortably with all levels of the organization and across teams; plan and execute program events; organize and follow up on meetings with staff and external stakeholders; research, compile, analyze information; prepare and edit project reports, presentations and correspondence; communicate effectively; exercise humility and creativity; and genuinely work well on a team and in a culture committed to equity, inclusion, and kindness.

Primary Responsibilities

The duties that follow represent the primary responsibilities for this role. All employees are responsible for performing other projects and duties as assigned.

Document Preparation and Management

  • Assist in the preparation, formatting, editing, updating, and distribution of written communications, including but not limited to:Emails to internal and external stakeholders;
  • Presentation materials such as slide decks and handouts;
  • Surveys to members, program participants, and potential partners;
  • Training certificates for those who complete our signature training programs.; and
  • Program materials such as one-pagers, guides, and reports.

Logistics

  • Organize internal team meeting logistics, including scheduling, drafting of agendas, sending appointment reminders, taking and circulating notes, and following up on action items after meetings.
  • Provide logistical leadership and support for team members, including but not limited to scheduling and travel.
  • Assist with planning, scheduling, and execution of external meetings with external partners and stakeholders.
  • Provide logistical leadership and support for training, education, and thought leadership events, including but not limited to the planning and execution of virtual and in-person events, remotely and onsite, and assistance making travel arrangements for program participants.

Client Services

  • Monitor relevant inboxes and learning management systems to track and respond to client inquiries.
  • Interface with clients, online and person-to-person, to answer questions, troubleshoot issues, and respond to requests for resources.

Education, Knowledge, Skills, and Abilities

  • Bachelor’s degree or equivalent experience.
  • At least 1 year of experience working directly with executives or leaders with diverse support needs.
  • Effective planning and organizational skills and ability to manage multiple projects and set priorities in a fast-paced environment with numerous deadlines.  
  • Impeccable writing skills with the ability to draft documents that are well-researched
  • Ability to communicate clearly, concisely, respectfully, and consistently with all levels internally and externally.
  • Ability to be a creative and resourceful problem-solver who can deal with some level of ambiguity and strive to build consensus with the appropriate people to execute on projects.
  • Ability to work collegially and effectively with staff in a team-oriented environment, as well as independently on key projects and deliverables.  
  • Ability to handle sensitive information confidentially and with diplomacy.
  • Deep knowledge of MS Office, Google Suite, and Adobe applications.
  • Existing knowledge of Salesforce, Trackstar, Monday.com, and other project management or CRM applications, or a willingness to learn.

Work Environment and Physical Requirements 

BoardSource is currently working in a hybrid environment.  Every team member is required to work in our Washington, DC office on Tuesdays.  Additional required in-office days may be needed from time to time and more may be added in the future. The physical requirements for this role are customary to an office setting, seated or standing at a desk, with standard office equipment and technology.
