Position Summary:

The Coordinator position is vital in supporting the public affairs and corporate communications teams and is involved in most initiatives managed in each department. The position provides administrative and project support for most team members and will also have some individual project responsibilities. Broadly, the projects typically managed by these departments include public and private stakeholder meetings, government affairs activities, community engagement efforts, industry workforce initiatives, PR, media and general communication activities, and special events.


The Public Affairs and Corporate Communications areas focus on local advocacy issues for the tourism industry. A strong interest or experience in the government/public affairs, community relations and public relations fields is important.


Responsibilities include, but are not limited to the following:


Essential Functions:

  • Serve as direct executive support to the public affairs chief operating officer, including scheduling meetings, managing calendar, processing invoices and expense reports, executive communication and meeting planning and support.
  • Provide project support for department team members as outlined above. 


Written Communications:

  • Strong writing and editing skills are necessary for this position.
  • Assist in developing business communications pieces, including agendas, memos, business letters, newsletters and community announcements.
  • Assist in managing organization’s local social media channels.
  • Assist in PR and media efforts, including writing press materials, general media relations (monitoring, interview coordination, fielding interview inquiries)
  • May assist in drafting press materials and coordinate media relations activities, including media monitoring, press inquiries, and interview coordination. Understanding of AP style is helpful, but not critical.


Community/Stakeholder Engagement

  • Assist in attending and reporting on key municipal and community stakeholder meetings.
  • Assist team with stakeholder and community meetings, including meeting preparation, logistics, scheduling, and participant communication.
  • Assist in developing community relations materials, presentations, and reports.


Government Relations

  • Assist in monitoring relevant activities of local and state elected bodies, including legislation tracking, district updates and election tracking.


Qualifications

  • Education: Bachelor’s degree in, public affairs, public policy, communications public relations, journalism, or related field preferred.
  • Skills: Excellent organization, time-management, communication administration and writing skills. Proficiency in Microsoft Office Suite and social media platforms, particularly X.
  • Experience: Prefer experience in government relations or communications-related field, but not required.

  • Problem-solving: Strong analytical and problem-solving skills, with the ability to identify issues and propose solutions.
  • Communication: Ability to effectively communicate with team to understand tasks and deadlines, provide project updates, and seek assistance or clarification.
  • Writing/Editing: Ability to write clear, concise, and professional drafts of various written communications with minimal grammar errors. Ability to edit documents for clarity, brevity, and grammar. Ability to use AI tools as a resource, but not for drafts of work product.


Environmental Conditions and Physical Demands:

  • Moderate physical activity performing somewhat strenuous daily activities of a primarily administrative nature. The employee spends a considerable amount of time seated, working at a desk in front of a computer monitor.
  • Manual dexterity sufficient to reach/handle items, work with fingers, and perceive attributes of objects and materials.
  • The employee must occasionally lift and/or move up to 25 pounds.
  • The employee is required to stand, walk, climb, and balance.
  • Well-lighted, heated, and/or air-conditioned indoor office setting with adequate ventilation.
