What You’ll Do


Under the direction of the Director of Government Affairs, the Administrative Assistant assists in the overall successful daily operations of the Government Affairs Department by performing multiple levels of administrative tasks. This work will enable the successful applicant to build their career while supporting the mission, values, and goals of the DGA.


Essential Duties and Responsibilities:


  • Assisting the Director of Government Affairs in all aspects of maintaining an organized office, including scheduling and maintaining the Director’s calendar, ensuring the timely filing of financial disclosure and other official documentation, corresponding with policymaker and industry staff, completing and submitting travel expense reports, answering phones, and digitizing and archiving records (as needed).


  • Assisting with preparation of materials for National Board, Western Directors Council, and PAC Committee meetings.


  • Performing research on issues of interest for DGA membership and staff as assigned.


  • Monitoring hearings/markups in Congress and recently introduced legislation relevant to DGA membership and staff.


  • Assisting DGA lobbyists in scheduling congressional meetings as necessary.


  • Monitoring press and providing relevant stories to the Director of Government Affairs.


  • Assisting with DGA Communications Department media monitoring, research and follow-up to DGA press and events.


  • Assisting with special events, including DGA PAC events with members of Congress and governors and other in-person and virtual DGA events. Experience coordinating virtual meetings and events is a plus.


  •  Working overtime and evenings, as necessary.


What You’ll Need


  • Outstanding grammar, spelling, and punctuation is a must.


  • Clear, articulate verbal and written communication skills with a professional and courteous telephone manner.


  • Proficiency with business software such as the Microsoft Office suite and Zoom, and knowledge of common business office procedures and terminology.


  •  Ability to interact in a friendly, professional manner with executive management, high-profile membership, and elected officials and their staff.


  • Comfort in providing executive-level support as well as working with other executive support staff and their teams.


  • Ability to multi-task and handle constant interruptions and shifting priorities while staying organized, problem solving, and meeting scheduled deadlines under pressure.


  • Strict attention to detail with a high level of accuracy.


  •  Ability to maintain confidentiality and to use discretion.


  •  Ability to research, gather, analyze and synthesize information from sources such as online searches, databases, and files.


  •  Ability to exercise independent judgment, take initiative, be resourceful and make decisions.


  • Ability to maintain a reliable and predictable work schedule, including overtime and evening work as necessary.


  •  Excellent interpersonal skills to develop and maintain collaborative working relationships.


  • Access to reliable transportation is required.


Minimum Qualifications:

  

  •  Degree from a four-year college or university.


  • Minimum two years’ experience in an administrative assistant and/or office support role.


  • Ability to follow verbal or written instructions and work independently to carry out assigned duties.


  • Tact and courtesy in dealing with co-workers, the public, and members.


  •  Ability to organize and handle a variety of tasks.


  •  Advanced Microsoft Office proficiency including Outlook, Word, Excel, PowerPoint.


  • Some knowledge of the federal and state legislative processes.


  • Interest in public policy strongly desired.
