Job Summary:

This position will work with the Fulbright Outreach, Events,

and Strategic Communications and Initiatives team. This position will work with

the Fulbright Program, the flagship international academic exchange program

sponsored by the United States Government.

The Coordinator provides financial, logistical and

administrative support to Fulbright Events, Outreach, and Strategic

Communications teams. These teams collaboratively support the recruitment of

Fulbright Program applicants, events and orientations for current Fulbright

participants, and the communication of the Fulbright Program’s impact to the

public. This position manages logistical and administrative arrangements,

processes payments, and reconciles financial records in support of the team.

The Coordinator maintains internal and external contact databases and supports

external communications by monitoring shared inboxes; and supports production

of newsletters, webinars and virtual events. This role supports procurement of

venues, development of promotional materials, and management of vendors. The

Coordinator travels to events as needed.

Essential Functions:

•    Maintains

participant and stakeholder data in databases, spreadsheets, and on

websites. 

•    Processes

payments via IIE’s financial systems and reconciles financial expenses made to

corporate credit cards.

•    Coordinates with

internal teams to arrange travel, per diem, and reimbursements for event

speakers and participants.

•    Coordinates with

internal teams to manage procurement of hotels, restaurants, ground

transportation companies, cultural activities, and other vendors as necessary

for events, outreach, and communications projects.

•    May make formal

presentations to participants on financial, logistical and administrative

aspects of the project; distributes prepaid cards, medical coverage and ensures

compliance with program requirements.

•    Communicates

program policies and procedures via e-mail, telephone, and in person to

internal and external stakeholders.

•    Troubleshoots

participant and project issues related to logistics, prepaid cards and medical

emergencies. Escalates issues as needed.

•    Supports on-site

delivery of events, including conferences and trainings.

•    Supports

development and production of digital and print content about the Fulbright

Program

Job Requirements:

Qualifications and Experience:

Education and Work Experience:

•    Requires an

Associate’s degree and at least two years of related work experience.

Required Knowledge, Skills and Abilities:

•    Good organization

skills with high attention to detail.

•    Ability to work

on and prioritize multiple tasks.

•    Ability to work

well under pressure and meet deadlines.

•    Good written and

verbal communication skills.

•    Intermediate

knowledge of Microsoft Office Suites.

•    Basic

understanding and interest in finance and accounting principles and logistical

coordination.

•    Ability to

interact with all levels of staff and external contacts; sensitive to cultural

differences when working with people from other cultures.

Salary and Benefits:

•    Salary Range:

$50,039 - $57,007. A candidate’s salary is determined by various factors

including, but not limited to, relevant work experience, job-related knowledge,

skills, abilities, internal organizational equity, and geographic region.
