Boston Ballet is seeking a motivated and conscientious Development Associate to provide key support to the Development Department. Reporting to the Development Operations Manager, they/them will be responsible for providing administrative support for the Development Department and assisting with external and internal relationships to ensure the success of a thriving and engaging giving program at Boston Ballet. In addition, they/them will help implement new processes in support of excellent data management, analysis, and relationship management. This hybrid position is considered full-time and non-exempt.

KEY RESPONSIBILITIES

Development Department support

  • Optimize and document processes and systems to increase the overall effectiveness of the Development team.
  • Collaborate with Artistic staff on in-studio donor visits and high-level benefits delivery for top supporters, including arranging in-studio visits and prospecting opportunities.
  • Maintain accurate donor listings for theater program bookwebsite, and other publications.
  • Provide administrative support for the Chief Development Officer, including scheduling internal and external meetings, and booking meetings spaces for department needs. 
  • Serve as a Development liaison to the Boston Ballet Volunteer Association (BBVA).
  • Prepare endowment, scholarship, and other ad-hoc stewardship reports, and draft correspondence and prepare department mailings as necessary.

EVW Visionaries’ Circle & Major Gifts support

  • Assist the Director of Major Gifts with administrative support, including calendar management, donor communication, and data tracking. 
  • Assist with the project management and execution of special projects and stewardship efforts for the EVW Visionaries’ Circle. 
  • Update fundraising database with new and current biographical, relationship, affiliation information, and contact notes.

Special Events and Experiences support

  • Prepare and manage event invitation lists, RSVP forms, and event data in Tessitura.
  • Assist with research on event attendees for high-profile events.
  • Assist with events throughout the season, including as a staff representative onsite and during the planning stages as needed.
  • Serve as representative to Boston Ballet while the Company is in theater, staffing the VIP Lounge at least twice per production.

REQUIREMENTS

  • Bachelor’s degree or equivalent work experience. 
  • At least one year of experience in an administrative, customer service, or development related role.
  • A proactive individual with the ability to learn quickly, and a growth-oriented mindset.
  • Ability to work independently as well as collaboratively. Effective at working with others to reach common goals and objectives.
  • Excellent organizational and analytic skills with strong attention to detail, and the ability to prioritize, plan, and organize your activities.
  • Strong verbal and written skills, as well as the ability to create impactful presentation materials using PowerPoint.
  • Understanding of sales and/or fundraising as well as customer service best practices.
  • Exercises discretion and good judgment with highly confidential materials.
  • Must be willing to work in the office a minimum of two days per week.
  • Must be available to work weekend and evening hours, especially during the regular performance season.
