Donor Service Manager

Creative Financial Staffing has partnered with a well-respected non-profit organization in the heart of downtown. They are seeking a Donor Service Manager to join their dynamic accounting team and are ready to move quickly for the right candidate.

Grants Management & Compliance

  • Lead the development, implementation, and continuous improvement of grantmaking processes, policies, and tools to support strategic philanthropic efforts.
  • Oversee verification and compliance processes to ensure grant funds are not disbursed to sanctioned or high-risk entities, in accordance with U.S. and international regulations.
  • Manage the optimization and internal support of CSuite CRM, including GL coding structure, grant record accuracy, and documentation uploads.
  • Review payment requests and award letters for accuracy, coordinating with Fund Stewards when necessary.
  • Ensure all grant agreements meet organizational and legal standards, recommending updates as needed.
  • Support preparation for tax filings and end-of-year donor reporting, including contributions to Form 990 schedules.

Financial & Operational Oversight

  • Monitor donor contributions and align financial reporting with program and operational budgets.
  • Generate financial reports, cash flow projections, board book content, and audit support documentation.
  • Oversee year-end reconciliation of grants and non-grant payments in collaboration with the Finance team.
  • Manage the annual endowment payout process and ensure compliance with expenditure responsibility requirements.
  • Track donor-advised fund performance and ensure all distributions align with IRS regulations and donor intent.
  • Lead grants close-out procedures and digitization of records; maintain consistency in CRM policies and documentation.

Team Leadership & Training

  • Design and lead departmental training on tools, technologies, and processes to strengthen staff capabilities and donor engagement.
  • Manage and develop a high-performing team through coaching, onboarding, feedback, performance planning, and career development.
  • Provide oversight and support for staff using CSuite and donor services platforms.
  • Respond to staff, grantee, and donor inquiries, resolving grantmaking issues and advising on best practices.

Strategic Collaboration & Process Improvement

  • Collaborate across departments to ensure efficient resource use and maximize operational effectiveness.
  • Drive process standardization and improvement initiatives with a continuous improvement mindset.
  • Integrate industry best practices into operations and maintain up-to-date knowledge of nonprofit regulations.
  • Standardize philanthropic systems, including donor relations, DAF setup, and CRM platforms such as Foundant and Salesforce.

Key Qualifications

  • Bachelor’s degree in Finance or related field; Master’s preferred.
  • 6+ years of grants management or donor services experience, including 5+ years of database/CRM administration.
  • In-depth knowledge of nonprofit regulations, GAAP, and philanthropic compliance standards.
  • Proficient in Microsoft Office Suite and donor platforms including Foundant, Salesforce, and Donor Central.
  • Strong analytical, organizational, and problem-solving skills, with excellent communication abilities.
  • Demonstrate strong leadership and team-building skills in a dynamic, fast-paced environment.
