Position Title: Operations Associate

Reports to: Director of Operations

Status: Full-Time  

Location: Arlington, VA  


Overview:  

Assist in day-to-day office operations, including accounts payable and receivable; payroll; assisting onboarding of new employees; accounting reports; cash-on-hand management and cash projections; human resources management; credit card and bank account reconciliation; and responding to tasks as necessary. Prioritize and manage multiple projects simultaneously with the supervision of the Director of Operations.  


Key Responsibilities:  

  • Code, submit, record, archive, and maintain all invoices and check files 
  • Distribute and process all new hire paperwork and personnel updates 
  • Enroll employees in benefits, when eligible 
  • Build and maintain relationships with all vendors  
  • Accounts payable: process/code incoming invoices, review expense reports for accuracy coordinate with bookkeeper for entry into QuickBooks, and cut all checks 
  • Reconcile credit card receipts by reviewing, classifying, and obtaining receipts for each expense 
  • Maintain a log of employees’ vacation/sick days 
  • Process bi-monthly payroll 
  • Run financial reports 
  • Oversee annual audit of the previous year’s finances 
  • Coordinate with bookkeeper to prepare 1099 and W-2 tax forms each year 
  • Purchase supplies 
  • Assist the executive director and other staff as needed 


Experience/ Education/Qualifications:  

  • High school diploma or equivalent 
  • Associate’s degree or higher 
  • 1-3 years prior administrative experience  
  • Excellent written and oral communications  
  • Strong interpersonal relationship-building skills 
  • Professionalism and diplomacy  
  • The ability to work as a member of a team and follow instructions and procedures  
  • Effective time management skills; detail-oriented and well-organized
  • Experience in QuickBooks is desired but not a requirement  
  • Ability to learn new skills in short order
