Position Summary:

The Director of Operations is a key leadership role at Literacy Minnesota, responsible for overseeing the operational functions to support the organization's mission of providing transformative learning opportunities. This position will ensure efficient and effective management of facilities, IT, and office administrative functions, while fostering a positive and inclusive work environment. The Director of Operations will work closely with the executive leadership team to align operational strategies with the organization's mission, vision, and values, with a strong emphasis on documentation oversight, effective housing of processes, and prioritizing oversight of key internal software and platforms. This role requires adaptability to support the varying operational and infrastructural nuances of Literacy Minnesota's three locations (admin office and two rented learning centers) and diverse satellite sites and programs.

Work environment consists of a typical office or home environment. Time spent on the computer is approximately 60%. Ability to be multi-site and travel within the metro and occasionally within the U.S. Occasional longer work days (10-12 hour days). Compensation and Benefits: This is a full-time position and is eligible for health, dental, vision, PTO, 401(k) with match (see benefits document on website career page for additional insight). The compensation range for this position is $75,000-$85,000 per year.

Key Responsibilities:

Leadership and Strategy:

  • Develop and implement strategies to enhance operational effectiveness and support the organization's mission.
  • Provide visionary leadership and support to the operations team, ensuring alignment with Literacy Minnesota’s mission, vision, and values.
  • Collaborate with the President and executive leadership team to align operational priorities with organizational goals.
  • Foster an inclusive and positive work environment that promotes professional growth and employee engagement.
  • Oversee the management of facilities, IT, and administrative functions to ensure efficient and effective operations across all locations, including the admin office, two learning centers, and various satellite sites.
  • Ensure the development and maintenance of efficient, scalable systems and processes across the organization.
  • Oversee the creation, management, and proper documentation of all operational processes to ensure they are effectively housed and accessible organization-wide.
  • Identify and implement technological solutions to improve internal workflows and data management.
  • Ensure operational practices are aligned with best practices and regulatory requirements.

 Operational Management

  • Ensure the development and maintenance of efficient, scalable systems and processes across the organization.
  • Oversee the creation, management, and proper documentation of all operational processes to ensure they are effectively housed and accessible organization-wide.
  • Identify and implement technological solutions to improve internal workflows and data management.
  • Ensure operational practices are aligned with best practices and regulatory requirements.

Documentation and Process Management

  • Develop and oversee a comprehensive documentation strategy to ensure all operational processes are clearly documented and housed in an organized manner.
  • Ensure that all operational documentation is regularly updated and easily accessible to relevant stakeholders.
  • Implement and manage systems for tracking and storing documentation related to facilities, IT, and administrative functions.
  • Promote a culture of meticulous documentation and continuous process improvement within the operations team.

Team Management and Development

  • Lead, mentor, and develop a high-performing operations team.
  • Set clear performance goals and provide regular feedback and evaluations.
  • Promote professional growth opportunities for team members, ensuring alignment with Literacy Minnesota’s values.

Required Qualifications:

  • Minimum 3-5 years of experience in operations management, preferably in a non-profit setting.
  • Proven leadership skills with a strong focus on operational excellence and strategic planning.
  • High-level computer/technology proficiency, with specific experience in Salesforce, Microsoft Office 365 Suite, Zapier, Mailchimp, and Surveymonkey
  • Exceptional interpersonal and communication skills. Demonstrated success in collaborating with individuals at all levels on an organization and developing and delivering clear messages.
  • Adept at goal-setting and routine monitoring of outcomes. Demonstrated success in the areas of motivating teams, achieving timely outcomes and program evaluation.
  • Exceptional interpersonal and communication skills.
  • Able to embrace ambiguity and flexibility in many aspects of day-to-day work.
  • Experience developing systems and processes that extend across an agency, particularly in multi-program settings.
  • Ability to work varying hours required by position. Reliable transportation and cell phone required for after-hours emergencies (reimbursement provided).

Preferred Qualifications:

  • Previous leadership training or certification a plus.
  • Strong interest in literacy and/or social causes.
