Overview
The Career Exploration department at Macalester College is seeking an Intern Program Manager to manage the day to day program management for structured, credit-bearing internships, the Macalester Summer Internship Grant and other Macalester-sponsored work-based learning opportunities. Working together with students, faculty, campus partners and organizations, the Program Manager will manage the administration, registration, budget and reporting for these areas. The Program Manager will work closely with the career advising, and employer relations functions to support faculty, students and employer partners. The Program Manager will work closely with other Career Exploration staff to build and support other Macalester-sponsored work-based learning opportunities (micro-internships, project-based work etc).
About Career Exploration and the Internship Program:
Macalester’s Career Exploration offers programs, services and appointments in our office in Kagin Commons, in the Olin-Rice Hub, and across campus. Our staff provide tailored career exploration and preparation for students of all majors – and for those exploring them all. The Internships Program is an integral part of Career Exploration, and more broadly, contributes invaluable work-integrated learning to a student's Macalester College liberal arts education. Academic internships (internships registered for credit) are structured, off-campus, learning-work experiences that can take place in a wide range of community organizations in the Twin Cities and around the world. Internships help students integrate theory and knowledge gained in the classroom with real world applications to develop professional skills, increase confidence, and heighten career awareness. This past academic year, 334 students from 30 academic disciplines participated in credit-bearing internships in the fine arts, nonprofits, education, government, and business. Please review the 2019-20 Internship Site List for more information. Career Exploration also stewards the Macalester Summer Internship Grant. In summer 2021, 48 students were awarded the MSIG grant to complete invaluable, but unpaid internships in the Twin Cities and around the world. The Internships Program helps facilitate this process, enabling students to find, register, and successfully complete an internship. College is all about exploring possibilities, and internships are a great way to enhance knowledge, better understand interests, develop skills, and prepare for future careers.
Responsibilities
Internship Program Management
- Work with students, faculty, and site supervisors to ensure that all registered internships are consistently structured and managed for student learning and academic integrity; manage all learning contracts
- Coordinate registration of internships for academic credit, working with the Registrar, students, faculty and site supervisors
- Work closely with the International Student Program to ensure international students have required documentation to qualify for Curricular Practical Training.
- Orient faculty to the role of the Faculty Sponsor for internships
- Communicate with all students, faculty, and site supervisors to lay out expectations for the internship
- Share evaluative data with faculty to facilitate the assigning of grades
- Educate career advisors and other Career Exploration staff/student workers on internships for academic credit basics and processes for referrals/questions
- Develop online and print material that guide students through the internship search and registration process each term
- Integrate other grant-funded summer internship programs (MacNest, Chuck Green, and Amy Ostermeier Human Rights Fellowship, etc.) into academic credit and administrative models
- Manage the “Experience” internship management platform in the “Handshake” Job and Internship platform.
- Promote academic internships to students, staff and faculty; coordinate with communications coordinator for integrated communications
- Utilizes Argos, Google Docs, and Qualtrics to build and generate evaluation, assessment and program summary reports
- Provide program support for internships integrated into academic programs
- Provide program support for micro-internship and other work-based learning opportunities
- Proactively connect internship employers to employer relations to strengthen and expand partnerships and pipelines
- Work closely with Internship Program Director to resolve issues that arise with students, site supervisors and faculty
Internship Grant Program Management
- Collaborate with the Internship Director to plan annual grant program
- Manage selection process for grantees; serve as member of the selection committee
- Manage MSIG grant expenditures and budget
- Promote Macalester Summer Internship Grant to students, staff and faculty; coordinate with communications coordinator for integrated communications
Administrative
- Provide primary administrative support for internships for academic credit, MSIG and other work-based learning opportunities
- Set up payment of stipends for all grantees through Accounts Payable
- Track internship placements and student timesheets
- Manage and build resources that help students find internships (e.g. list of online databases, field focused organizations, etc.).
Additional Responsibilities:
- Train and supervise Internship Program Fellow(s) to conduct daily program-specific tasks and special projects; collaborate with staff member responsible for managing the overall Career Exploration student workforce
- Represent Career Exploration at campus and community functions
- Be actively involved in relevant associations and consortia
Qualifications
- 3-5 years of previous experience in program management and development, oversight and execution.
- Bachelor’s Degree required (extensive work experience in program management may substitute for bachelor's degree).
- Experience with program assessment and evaluation
- Strong experience utilizing software to manage complex systems and processes (will offer training in Handshake).
- Past experience collaborating with communications and marketing.
- Prior experience with timesheet tracking, tracking of student placements preferred.
- Strong demonstrated experience in relationship building.
- A demonstrative commitment to equity, inclusion, and diversity. Compensation & Benefits:
The total compensation for this position includes an annual salary of $50,000-55,000 based on qualifications. This role is 1.0 FTE and offers full access to Macalester’s Benefits package.
