Wilton Library seeks a dedicated assistant to be part of a dynamic administrative team. Reporting to the Head of Development, the Administrative and Development Assistant will perform a variety of development tasks including maintaining and utilizing the donor management database, generating routine communications with the Friends and supporters of Wilton Library, assisting with fundraising activities, and assisting Executive Director with a variety of administrative tasks including maintaining Library directories and ordering office supplies.

Qualifications:

Holds an undergraduate degree from an accredited college or university and minimum five years administrative experience. Excellent oral and written communication skills, exercises discretion and maintains composure in stressful situations; projects positive customer service and teamwork attitude; able to confer or refer appropriately; organized and pays attention to detail and accuracy; has good problem solving and time management skills. Exhibits agility, versatility and can-do attitude.

Experience and demonstrated competence in using Microsoft Office Suite (Word, Excel, PowerPoint, Publisher) and skilled in generating mailing lists (mail-merge). Ability to operate general office equipment and communications equipment. Experience with donor management software is preferred. Must have good writing and editing skills, and legible handwriting.

Duties/Responsibilities:

Development:

  • Assists with maintaining Wilton Library development correspondence in administration’s files
  • Raiser’s Edge 7/NXT Donor Management database: inputs data, maintains records, volunteer listings, performs searches and generates correspondence and mailings
  • Maintains record keeping and consults Development files
  • Logging checks and cash donations, running credit card transactions, and preparing bank deposits for Head of Finance
  • General communication with donors and other relevant individuals by phone, mail, and email
  • Running reports for fundraising mailings, annual report, and general donation reports
  • Monitors event registrations
  • Order office supplies for Development needs

Administration:

  • Assists with the administrative communications to key constituencies via mail, emails, phone calls, greeting cards, etc.
  • Order supplies for Administration Office as needed
  • Prepare Library packets for Wilton Public Schools New Teacher Orientation
  • Assists with book sale sign production and maps (4x/year); reserve space in calendar software
  • Maintenance of Board of Trustees directory and handbook as well as WLA Staff directories

Part-time hourly position up to 20 hours/week during the hours of Monday-Friday, 9:00am-5:00pm. Salary is $25.00 per hour.
