The Operations Manager works directly with the Executive Director to ensure the smooth and efficient running of the organization’s daily operations. This role involves streamlining processes, improving workflows, and managing resources to support the organization’s mission, staff, and goals. The Operations Manager is also responsible for managing and supervising the team so all operational activities are carried out efficiently to achieve organizational goals. In addition, the Operation Manager will oversee the allocation and management of finances, human resources, and physical assets, ensuring optimal use and alignment with the organization’s objectives.

The Operations Manager will also provide support in developing and implementing policies and procedures to enhance organizational performance. The Operations Manager will work closely with other departments to coordinate activities and support strategic initiatives, fostering a collaborative and productive work environment. This role requires strong leadership, problem-solving skills, and a deep commitment to L.O.V.E.’s mission.

The Operations Manager actively pursues professional development through knowledge sharing and collaborative skill-building activities with colleagues.

Major Responsibilities

  • Oversee daily operations to ensure efficiency and effectiveness
  • Provide leadership and support to staff 
  • Streamline processes and improve workflows
  • Manage the allocation and use of financial, human, and physical resources
  • Develop and implement policies and procedures
  • Coordinate activities across departments to support strategic initiatives
  • Monitor and analyze performance metrics
  • Ensure compliance with legal and regulatory requirements
  • Support fundraising and grant management efforts
  • Manage budgets and financial planning
  • Foster a collaborative and productive work environment
  • Address operational issues and resolve problems as they arise

Key Activities

  • Provide day-to-day operational leadership and supervision to L.O.V.E. staff
  • Perform weekly check-ins to assist staff in setting clear goals and desired outcomes
  • Conduct annual growth reviews and performance evaluations
  • Perform all administrative bookkeeping, encompassing accounts payable (e.g. purchasing of services and supplies, expense reimbursement) and receivable (e.g. processing of grants and contracts, invoicing, revenue tracking) 
  • Coordinate the hiring process including job postings, screening of resumes, organizing candidate interviews, and new hire on-boarding
  • Develop strategies to support professional development opportunities for team members
  • Help promote an organizational culture that encourages top performance and high morale
  • Manage government and donor contracts, ensuring compliance and fulfillment of terms
  • Organize and audit programmatic metrics and data on an ongoing basis
  • Develop internship partnerships with universities and other educational institutions
  • Support the planning and execution of the annual fundraising event
  • Participate in the development and dissemination of program marketing materials (e.g. flyers, invitations, social media outreach) 

Desirable Knowledge and Skills

  • A successful track record in setting priorities with organization and problem solving skills that enable sound decision-making
  • Proficiency in budgeting, financial planning, and resource allocation
  • Understanding of human resources management and staff training
  • Ability to take initiative, interact well with people and work collaboratively
  • Ability to conduct research, organize information, and communicate concepts clearly and succinctly
  • Ability to manage and track multiple tasks and to meet deadlines
  • Strong verbal and writing skills in Spanish and English
  • Proficient in use of Google Drive software or equivalent (i.e., Doc, Sheets, and Slides or other text editing, spreadsheet and presentation software)
  • Background in subject areas such as business, education, psychology, sociology, development of girls and youth, cross-cultural studies

Minimum Qualifications

  • B.A. degree or higher from an accredited college or university
  • Demonstrated experience in organizational development and personnel management
  • and financial/budget administration.
  • Passion and interest in L.O.V.E.’s empowerment mission
  • Demonstrated competency working with diverse and under-resourced communities
  • Experience working with girls, youth and/or in educational programs
  • Ability to pass a background check
