Hours: 32 hours per week, 10am-6pm Monday through Thursday and 10am to 2pm on Friday, evening and weekend hours as needed or requested by supervisor

The National Alliance on Mental Illness of New York City (NAMI-NYC) is the only nonprofit organization providing direct support to family members caring for loved ones with serious mental illness (SMI), like major depression, bipolar disorder, and schizophrenia. We offer classes, 30+ support groups, family mentoring, a Helpline in English, Spanish, and 180+ languages, and more, to peers and family members completely FREE regardless of income, insurance, or immigration status. NAMI-NYC not only provides virtual and in person free mental health programs and services to the community, but also fights for New Yorkers and our rights, including access to affordable, culturally responsive mental healthcare, peers not police in mental health crisis response, and investment in community-based programs. We also work to prevent people with SMI experiencing further interaction with the criminal legal system and break an unjust, endless cycle of psychiatric hospitalizations, homelessness, and incarceration. We aim to increase mental health access to communities of color, monolingual Spanish speakers, the LGBTQ+ community, the Deaf and hard of hearing, older adults, and other underserved communities. We also care about addressing our country’s mental health crisis, especially among young people. We care about suicide prevention and connecting all New Yorkers to the resources they need. POSITION DESCRIPTION:
NAMI-NYC seeks a detail-oriented Director of Operations to assist the organization with general, administrative and financial operations. The Director of Operations will be responsible for increasing the efficiency of NAMI-NYC, maximizing organizational productivity, and will have oversight of facilities, equipment, and vendor relationships. They will be integral in implementing a strategy that will enhance and sustain NAMI-NYC’s internal capacity.
The ideal candidate is a strong leader who is proactive, can anticipate needs and solve problems as they arise, and tackle requests and needs with a positive, can-do attitude. This is a forward-facing role and candidates should be outgoing with outstanding communication skills, adept at both internal and external customer service.
This position will work with a team of three staff, including two direct reports.

Human Resources
- Oversee all HR functions including onboarding, offboarding, recruitment/retention efforts, maintenance of personnel records, staff training, and performance related matters.
- Develop and implement policies and procedures to formalize HR processes.
- Manage relationship with external HR vendor (Paychex)
- Provide support as needed to staff responsible for time/attendance, and payroll.
- Support staff overseeing the agency’s volunteer program.
Data Management
- Drive data-focused agency initiatives and help to build a data-focused culture.
- Supervise the Salesforce Database Administrator and provide guidance and support around database expansion, integrations and/or special projects.
- Support staff in the use of the agency’s fundraising database (Bloomerang)
- Create reports in CRMs and Excel with a focus on data manipulation and visualization.
Financial and Accounting
- In partnership with the agency’s accounting firm, oversee accounts payable and accounts receivable; and support staff responsible for related data entry/tracking as needed.
- Using PASSPort and Grants Gateway, ensure all necessary documentation is submitted for government grants and contracts.
- Spearhead efforts in relation to agency financial audits
- Lead efforts related to agency budgeting and support staff responsible for the creation of departmental spending reports.
General Administration/Management
- Manage day-to-day operations and develop formal standard operating procedures, tracking methods, and protocols to maximize efficiency of NAMI-NYC while identifying and resolving operational issues.
- Manage professional insurance policies and request COIs as needed.
- Oversee vendor setup and manage select vendor relationships.
- Support staff responsible for overseeing IT, purchasing, and facilities functions.
- Other duties as assigned.
Qualifications

- Bachelor's degree required. Master’s degree preferred
- 5+ years of experience in an Operations Management role
- 3+ years of supervisory experience
- Experience in human resources or volunteer coordination preferred
- Proficiency in Excel and CRMs required; Salesforce experience a plus
- Possess a sharp business mind, is highly organized and a proven self-starter with excellent judgment and careful attention to detail
- Has previous experience developing and maintaining an environment of trust, diversity, and inclusion within an organization.
- Ability to work effectively with diverse populations with a high level of integrity, diplomacy, and initiative.

- Strong interpersonal communication skills; communicates professionally to all levels of management and adapts to changing priorities
- Ability to work some evenings and weekends, upon request
- Ability to lift 25 lbs.
