Job Description
WTTW (Chicago PBS) and WFMT (classical music radio station) are looking for a Development Project Manager, Institutional Giving. This individual provides support to the Corporate, Foundation, and Government Relations (CFG) Team and supports activities that result in reaching the organizational target fundraising goals.
KEY RESPONSIBILITIES:
- Support CFG Team funder stewardship and solicitations, including tracking deadlines and maintaining grant calendar, printing and packaging materials, creating and maintaining mailing and invitation lists, authoring briefing memos, and supporting the team’s donor interactions. Establish and manage fulfillment of benefits for all corporate partnerships.
- Contribute to the planning and execution of funder and partner meetings and events, including special screenings and tours.
- Gather, analyze and prepare quantitative and qualitative data (such as recognition impressions) for informal and formal reporting purposes.
- Coordinate the CFG Team gift acknowledgement process, including in-person letter signing, maintaining letter templates, managing team reviews and implementing feedback, and database record keeping.
- Support the preparation of written communications for the institutions team, including solicitation and gift acknowledgement emails and letters, gift agreements, and reports.
- Compile research reports (briefings) for current and potential institutional funder prospects including past interactions (meetings, emails, other points of contact), giving history, and philanthropic interests.
- Maintain funder database (Tessitura), including identifying and entering new information and ensuring all records are kept up to date.
- Provide general administrative support to the Senior Director and CFG Team, including preparing expense reports and scheduling.
- Support the wider Development team’s cultivation and stewardship activities, including in-person and special events such as our annual gala, and other activities such as our biannual WFMT membership drive.
- Other duties as assigned: The Development Project Manager will support the CFG Team as necessary and work collaboratively and cross-departmentally across the organization.
- Lead by example with positive attitude; team-centric behavior; and results-oriented, focused approach to developing relationships both externally and internally that result in increased revenue for WTTW and WFMT.
SKILLS/QUALIFICATIONS:
- Strong communication skills (written and verbal)
- Ability to develop and demonstrate progressive responsibility across tasks
- Excellent organizational skills, including ability to prioritize and multitask
- Ability to meet deadlines
- Experience working with Microsoft Office (including Word, Excel, and PowerPoint) preferred
- Experience with Tessitura or another CRM a plus
- Ability to handle detailed work with accuracy
- Ability to follow and maintain work systems and processes
- Ability to handle matters of a confidential nature
- Interpersonal skills (working with clients, customers, colleagues)
- Trouble shooting and problem-solving skills
EXPERIENCE: Candidate must have 2-3 years of general office experience. Practical development experience and/or knowledge of the non-profit arts and culture sector is a plus.
